The Greater Sudbury Chamber of Commerce is a prominent organization dedicated to supporting and advocating for the local business community. With a strong membership base and influential partnerships, the Chamber plays a vital role in promoting economic growth and development. The Greater Sudbury Chamber of Commerce is seeking a highly skilled and motivated Administrative Assistant to join their passionate team.

MAIN FUNCTION: Provides a full range of administrative support to the Chamber of Commerce and its Board of Directors activities, contributing to efficient administration. Supports the President and CEO and Chamber staff to enable the success of organizational initiatives, strategic objectives, Board administration and business plans by applying organizational awareness, collaboration and proactively coordinating the administrative work of the Chamber.

DUTIES:

  • Support business communications by acting as a liaison for internal, Board and organizational information, including matters of confidentiality.
  • Assist with the timely development of required agendas, reports and/or documents, including conducting research and providing information for administration and Board activities.
  • Contribute to the planning and execution of meetings and events.
  • Contribute to the overall effectiveness of the organization by analyzing and identifying opportunities to improve administrative standard operating procedures and processes.
  • Perform administrative functions such as scheduling and minute-taking, calendar coordination and management for the President and CEO and organizational initiatives: finance-related duties, travel arrangements, expense claims, supply orders and other.
  • Adhere to and provide support, administrative guidance to Chamber staff with regards to policies and procedures, including document control and information flow, as directed by the President and CEO.
  • Perform front-line customer service duties, including telephone, email and in-person response and support of inquiries.
  • Assist in the timely maintenance of online assets and databases, including social media, website, Customer Relationship Management system, databases and other.
  • Perform other related duties as required.

QUALIFICATIONS

EDUCATION AND TRAINING:

  • College diploma or equivalent work experience in business, administration or a related field from a recognized college with Canadian accreditation.
  • Additional education initiatives to update and expand competencies.

EXPERIENCE:

  • Minimum of two years of related experience.
  • Experience within a not-for-profit and/or Board of Directors a definite asset.

OR

EDUCATION AND TRAINING

  • Secondary School education.
  • Certificate or professional development in a related field considered an asset.

EXPERIENCE:

  • Minimum of three years of related experience.
  • Experience within a not-for-profit and/or Board of Directors a definite asset.

KNOWLEDGE:

  • Demonstrate a high level of competency in technology, with a demonstrated ability related to computer software and online and administrative systems in a Windows environment (files maintenance, email, spreadsheet applications, presentation software, information input and retrieval, etc.).
  • Knowledge of human resource, financial and administrative practices.

ABILITIES:

  • Demonstrate organization, time management, adaptability and judgment abilities.
  • Demonstrate the ability to work independently and collaboratively under pressure.
  • Ability to handle confidential information with discretion.
  • Demonstrate interpersonal skills and the ability to build relationships with members, staff, political representatives, business/community leaders, outside groups and agencies.
  • Communicate effectively orally and in writing.
  • Provide exceptional customer service.

LANGUAGE:

Excellent use of English (verbal and written). French/other language verbal and written skills an asset, but not a requirement.

COMPENSATION:

  • Annual salary of $43,000 to $55,000
