Executive Assistant - Plano, TX 75024
The Executive Assistant is responsible for supporting the company principals in day-to-day administrative functions, ensuring the overall success of the company's vision and mission. Support company office and President in day-to-day administrative functions, including:
Duties:
- Greet visitors and answer phones
- Order and distribute office supplies
- Process incoming office mail
- Coordinate local office calendar (project deadlines, meetings)
- Coordinate travel arrangements for local office staff
- Coordinate meeting arrangements (on- and off-site)
- Assist with preparation and distribution of meeting minutes and other correspondence
- Assist principal with calendar management
- Assist principal with phone, email, and other correspondence
- Assist principal with leading weekly staff meeting
- Maintain general office files (digital and hard copies)
- Update log for submittals, RFIs, inspections, etc.
- Format project specifications
- Assist with financial duties, including preparation of spreadsheets, preparation of accounts receivable, and banking deposits
- Handle confidential and sensitive information with discretion
- Assist with overall office project management and workflow by creating spreadsheets, collecting, and analyzing information
- Participate in career development training as assigned by board of directors or Human Resources Manager
- Support President in day-to-day administrative functions
- 3+ years' experience in general administrative support role
- Ability to manage multiple projects under strict deadlines
- Demonstrated experience in managing financial spreadsheets and budgets
- Exceptional attention to detail
- Proven leadership skills
- Ability to work well on a team
- Excellent written and verbal communication skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience in QuickBooks preferred but not required
- High school education or equivalent. Associate's or bachelor's degree in related field preferred but not required
- Proficient in SpecLink preferred but not required
- 3-5+ years' experience in architectural, engineering, construction or in a professional services setting in similar role
