Position: Corporate Executive Assistant
Address: Greenway Salary: $75,000 - 90,000 In office
The Company The Company is a single-family office responsible for serving the personal and financial needs of multiple generations of a California-based family. The Company is continuing to grow and strives to provide the highest level of investment and wealth management services, philanthropy, legal, accounting, tax, technology, HR, property management, and communication support to current and future generations.
Position Description Reporting to the Chief Executive Officer and Director of Administration, the Corporate Administrative Assistant will serve as the primary point of general support for the executive, HR, and corporate accounting departments which serve the broad needs of the organization and the family members. The ideal individual will have the ability to exercise good judgement and critical thinking skills in a variety of situations, with strong written and verbal communication, administrative, and organizational skills. The Corporate Administrative Assistant must have the ability to work independently on a wide variety of projects and must be able to handle confidential matters with discretion. Responsibilities:Performs a broad variety of administrative tasks for the CEO, including managing a calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas.Assists the CEO and Director of Administration with all aspects of planning various business meetings and multiple quarterly board meetings, including the coordination and preparation of all meeting materials.Assists the Director of Administration with various sensitive HR matters including onboarding documentation preparation, personnel file organization, and maintenance of annual employee census.Assists the Director of Administration with benefit administration including assistance with Open Enrollment, organize and maintain benefit documentation, and researching benefit related inquiries, as needed.Assists the Corporate Accountant with light accounting duties including credit card receipt reconciliation, payroll input, bank account reconciliations, and other accounting related projects, as needed.Work alongside the Director of Administration and Office Coordinator on various Company events.Provides a bridge for smooth communication between the executive department and other departments within the Company, as well as, outside affiliated businesses and individuals, including family members and advisors.Prioritizes conflicting needs, handles matters expeditiously, proactively and followsthrough on all projects and tasks to ensure successful completion.Assist with personal errands as needed. Qualifications:5-10 years of administrative support experience at the executive level.Involvement with high-level contacts and exposure to sensitive information necessitating considerable use of tact, diplomacy, discretion, and judgement.Strong administrative skills including knowledge of Microsoft Office, with a heavy focus on Word, Excel, and PowerPoint.Exposure to corporate accounting functions and light accounting skills preferred.General understanding of HR and benefit administration preferred.Excellent understanding of technology and how it can be used to improve business processes.Outstanding organizational and time management skills.Excellent communication skills (written and verbal) including a professional telephone manner.Ability to work with confidential company-wide sensitive information.Ability to manage multiple projects with varying degrees of priority in a clear and concise manner.Unfailing attention to detail.Strong send of urgency and responsiveness to others needs.Excellent verbal and written communication skills. Pluses:Associate's or bachelor's degree from an accredited college or university.Completion of college level accounting course(s).
