Title: Administrative Assistant
Location: Austin, TX
Pay Rate: $35/hr to $45/hr on w2.
Duration: 6 months +

The Administrative Assistant will report into and oversee administrative operations in primary support of the Chief Revenue Officer (CRO). We are looking for a candidate who takes initiative, solves problems and derives joy when helping others. Your professionalism, expertise, discretion, professional agility, and honed attention to detail will be essential to collaborating and driving specific projects and deliverables. This role will require balancing multiple time zones and you will be an instrumental and valued extension of the efforts of this team.

What you'll do:

What you'll bring:

  1. Extensive day to day and long term calendar management.
  2. Coordinate/liaise with cross functional assistants to schedule cross functional meetings.
  3. Organize and prioritize daily schedules; arrange appointments, meetings and events, schedule/manage complex itineraries for business travel, and maintain calendars.
  4. Work closely with the Revenue Organization, specifically the Revenue Leadership team (composed of SVP and VP level executives) and the CRO.
  5. Receive, screen, and initiate phone calls, inquiries, correspondence; determine the urgency of response required, and escalate issues as appropriate.
  6. Preparing, disclosing, and handling confidential and sensitive information.
  7. Produce information by transcribing, formatting, inputting, editing, retrieving, copying, proofreading, and transmitting text, data, and graphics.
  8. Coordinate and organize Revenue Organization related meetings.
  9. Prepare PowerPoint, and other presentations for Revenue Organization and other meetings.
  10. Attend Revenue leadership meetings as requested.
  11. Prepare Revenue leadership team in advance of meetings as needed.
  12. Manage and prepare meeting materials and correspondence.
  13. Coordinate all requested aspects of business and personal travel, documentation and flight monitoring, transportation, hotel and restaurant reservations.
  14. Maintain an accurate list of travel preferences (airlines, flight class, hotels, rental cars, etc.) to use when making arrangements.
  15. Process monthly expenses for CRO and monthly admin expenses.
  16. Extensive knowledge of Google suite required, specifically Google calendar.
  17. Experience using Slack and Concur.
  18. 3-5+ Years of calendar management.
  19. Bachelor's degree preferred.
  20. Experience working in a fast-paced, growing company that requires quick thinking, process creation, and the ability to think outside of the box to complete duties is a huge plus.
  21. Strong communication skills both verbally and written.
  22. Ability to prioritize, organize, and complete tasks effectively.
  23. Solutions focused.
  24. Proven ability to handle confidential information.
  25. Strong judgment and ability to make decisions.
