Position: Executive Administrator/ Executive Assistant / Family Office Coordinator / Light Investor Relations

We are seeking an experienced and highly organized executive admin to join our real estate development company. The successful candidate will be responsible for managing the day-to-day activities of the CEO, providing administrative support to him and the development team, and ensuring smooth and efficient office operations by participating in light Investor Relations or Transaction Coordination. The candidate will be an integral part of a corporate team of a growing company. The ideal candidate for this position is a professional with at least 5-10 years of experience in the Multifamily & Commercial Real Estate sector working for a real estate development company, an entrepreneurial spirit, strong work ethic, efficient, and the ability to assimilate & learn new information quickly. Preference to candidates that have at least 2-4 years of administration and transaction coordination experience.

Administrative Role

  1. Provide high-level executive administrative support to the members of the team
  2. Assist with management of calendars & schedules; including sending out meeting invites
  3. Maintain and oversee general accounting items and expense reports
  4. Work with the company on processing vendor invoice payments
  5. Provide light computer support and troubleshooting
  6. Prepare documents and presentation materials, perform bank reconciliations
  7. Coordinate and schedule meetings with third-party consultants like civil engineers, architects, builders
  8. Assist in working on all marketing materials including brochures, flyers, online marketing, social media posts, etc.
  9. Support HR strategies, including team-building and administrative policies
  10. Assist the leadership team with various tasks as needed

Light Investor Relations Responsibilities

  1. Serve as the key point of contact between investors and the corporate team
  2. Assist in the preparation and review of asset documents (Private Placement Memorandums, Operating Agreements, etc.)
  3. Respond to existing investor questions, queries, and concerns
  4. Prepare K-1’s and W-2’s in consultation with our CPA
  5. Assist asset manager in updating internal portfolio reports on a quarterly or as-needed basis
  6. Create and/or update presentations and materials on an as-needed basis
  7. Assist with legal formations and org charts

Qualifications

  1. 5 to 10 years of experience in multifamily and/or commercial real estate investments
  2. Familiarity with multifamily development fundamentals in central Texas markets preferred but not required
  3. Strong organizational, time management, and planning skills
  4. Excellent oral and written communication skills
  5. Deadline driven and extremely organized
  6. Excellent attention to detail and high-level accuracy with documents
  7. Superior written, interpersonal, analytical, and presentation skills
  8. Fluency with Microsoft Office Suite, especially Microsoft Excel
  9. Professional integrity, strong work ethic, and responsibility

Job Type: Full-time

Pay: $65,000.00 - $80,000.00 per year
