We are seeking a proactive, organized, and detail-oriented Executive Assistant to provide high-level administrative support to senior leadership at our law firm. The ideal candidate will have exceptional communication skills, the ability to manage multiple priorities, and a strong understanding of the legal industry. This role is pivotal in ensuring the smooth operation of the executive office and supporting the firm's strategic goals.
Key Responsibilities:
- Administrative Support:
Manage calendars, schedule meetings, and coordinate appointments for senior attorneys and executives.
Handle correspondence, including emails, phone calls, and drafting professional communications.
Prepare and edit documents, presentations, and reports with a high degree of accuracy. - Legal Support:
Assist with case preparation, including managing documents, filing court documents, and tracking deadlines.
Liaise with clients, court personnel, and other legal professionals as needed.
Conduct legal research and organize case materials under the direction of attorneys. - Project and Event Management:
Coordinate special projects, events, and conferences, ensuring all logistical details are handled.
Track project timelines and deliverables, providing updates to leadership as needed. - Office Operations:
Maintain filing systems (electronic and physical), ensuring confidentiality and organization of sensitive information.
Oversee travel arrangements and expense reporting for executives.
Support human resource tasks, such as onboarding new team members or coordinating training sessions. - Client and Stakeholder Engagement:
Serve as the primary point of contact for internal and external stakeholders on behalf of the executive team.
Foster professional relationships with clients, maintaining a positive and polished demeanor.
Qualifications:
Education and Experience:
- Bachelor’s degree preferred, or equivalent experience in administrative or legal support roles.
- Minimum 3-5 years of experience as an executive assistant, preferably in a legal or professional services environment.
Skills and Competencies:
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Familiarity with legal software and document management systems (e.g., Clio, NetDocuments, or similar).
- Ability to prioritize and manage multiple tasks with a high level of discretion and confidentiality.
- Professional demeanor with excellent interpersonal skills.
- Bilingual Preferred not Mandatory - English/Spanish
