Position Administrative Secretary to the Chief Financial Officer Location:

High school diploma required; bachelor's degree preferred. Advanced training in office technology. Accounting experience preferred. A minimum of two years secretarial experience. Must be able to work independently and have experience with project-based tasks. Strong communication and organizational skills. Ability to create a positive, inclusive, and adaptive workplace. What You’ll Do:

This position functions as Administrative Secretary to the Chief Financial Officer and assists in the administration of their duties and responsibilities. It requires the ability to work well with others and to work under minimal supervision. Primary Duties And Responsibilities Include:

Compile a monthly list of bills for review and approval upon certification that all goods are delivered and/or services rendered for the monthly Board work session. Update the Fixed Asset records, including having items tagged; maintain fixed assets binder for each year. Facilitate and manage the Accounts Receivable process, including accounts reconciliation, General Ledger entries, and bank deposits. Collect county assessment documents and maintain annual audit records. Send monthly reports to Keystone Collections. Assist taxpayers with questions and act as liaison between Keystone Collections and the District. Post delinquent tax payments. Submit lien lists to counties annually. Maintain Charter School records - paper and electronic. Monthly reconciliation of credit card statements for the Chief Financial Officer. Process purchase orders for the Chief Financial Officer. Assist with Right to Know requests and meet all associated timelines. Assist with preparation of Title IX notices and documents and maintain confidential records. Assist with coordination of the Safety Committee. Record and maintain meeting minutes. Assist the Chief Financial Officer in the implementation of Octorara Area School District policies/business by preparation of such materials, records and forms as necessary. Coordinate, assist in administering, and maintain the records of the Octorara Area School District insurance program (student, property, casualty, liability, automotive, bonds, certificates, etc.). Secure student voluntary accident insurance forms from insurance companies, distribute to all programs/schools and return completed applications and payments to insurance companies. Provide certificates of insurance (proof of insurance) for all outside facilities that the OASD occupies and/or uses for its programs. Maintain contract files and associated database. Collect and maintain monthly transportation data. Create and manage events as needed in Hometown Ticketing system. Solicit information from the Chief Financial Officer, Director of Facilities, and Assistant Business Manager and compile Board action items and department reports for Board meetings. Make appointments and prepare itineraries, greet and/or screen visitors, set up meetings, make conference and meeting reservations. Provide receptionist relief coverage as needed. All other duties and responsibilities as assigned by the Chief Financial Officer. Position Type:
