GENERAL DESCRIPTION:
The Building Secretary offers clerical and administrative support to the building principal and receives and responds to telephone calls and visitors. QUALIFICATIONS:
KNOWLEDGE, ABILITY AND SKILLS (*indicates developed after employment):
KNOWLEDGE OF: Board policies and procedures*; basic first aid procedures; office management; specific office/department computer applications.
ABILITY TO: Apply office practices and procedures to solve everyday problems; follow instructions; communicate effectively with contractors, service providers, sales associates, staff, supervisors, and the public; develop and maintain effective working relationships; prepare reports; maintain records; respond to routine or sensitive inquiries with the general public; and maintain confidentiality.
SKILL IN: Record keeping.

Employees must pass a criminal background investigation and provide a fingerprint card prior to employment.

- A high school diploma or equivalent is required. A bachelor's degree is preferred, but not required
- Experience in secretarial skills, computer and word processing and telephone communication
- Pleasantly receives telephone calls and visitors, exchanges information and directs messages to appropriate personnel
- Maintains all student attendance records
- Operates office equipment (e.g., computer, copier, PA system, etc.)
- Distributes mail and other materials
- Maintains filing and records systems (e.g., student records, attendance records, emergency medical records, EMIS, student management systems, etc.)
- Maintains the petty cash account. Receives all student fees and accounts for the funds
- Assists students who are ill or who require minor first aid and aids with dispensing medication to students
- Provides orientation of office procedures for new teachers and instruct teachers in proper use and care of equipment
- Maintains confidentiality of information about students and all school matters
- Promotes excellent public relations by prompt and courteous service to all persons
- Possesses computer, word processing and Excel data skills
- Demonstrates regular and predictable attendance
- Keeps office machines and equipment clean and operative and informs the building principal of needed repairs
- Assists with general building responsibilities (e.g., calling substitutes, preparing newsletters, registering and scheduling students, assisting with fundraisers, using radio and telephone to assist with transportation problems, etc., as directed by the building principal
- Assists co-workers as required.
- Performs other tasks as assigned by the supervisor.
- May occasionally deal with distraught or difficult people
- Occasional interaction among unruly students.
- Lifting and moving books, supplies and equipment
- Occasional exposure to blood, bodily fluids and tissues
