Job Description
The Project Manager will play a pivotal role in executing projects from concept to completion, ensuring they are delivered on time, within budget, and to the highest quality standards. This role involves managing multiple projects, coordinating cross-functional teams, and serving as the main point of contact for clients. You will drive project efficiency and strategic planning while maintaining clear communication throughout the entire agency on multiple teams and projects.
Key Responsibilities
- Project Oversight:
- Manage multiple small to large-sized architecture and interior design projects simultaneously.
- Ensure projects are completed on time, within budget, and meet client expectations.
- Oversee all aspects of project delivery, coordinating with design teams, contractors, consultants, and stakeholders.
- Client Liaison :
- Serve as the primary client contact, ensuring proactive communication and managing expectations regarding schedules, budgets, and project scope.
- Create inter-studio project minutes and client meeting project minutes, when necessary. Coordinating project meetings, including preparing agendas, taking minutes, tracking action items, and following up action items with team members responsible for action items.
- Create outlines for inter-studio initiatives, prepare client agendas, and translate action items to Asana.
- Send out weekly updates to all clients to notify them of the project progress, action items, and schedule
- Budget and Schedule Management:
- Actively manage project budgets, schedules, and resources.
- Collaborate with the Executive Team and Managing Director to estimate project fees, develop proposals, and define scopes of work.
- Strategic Planning:
- Develop comprehensive project plans that outline timelines, deliverables, and resource requirements to ensure successful project outcomes.
- Continuously monitor and adjust plans to maintain project efficiency and profitability.
- Understand design vision and design language. Work to implement design based upon contractual agreement with the client.
- Documentation and Communication:
- Maintain detailed project documentation and communication, ensuring all stakeholders are informed of project progress, milestones, and any changes.
- Manage project-related administrative tasks and team assignments.
- Attend project coordination and meetings with internal team members and/or external consultants.
- Asana Scrum master
- Maintain Asana Project Management Application and is responsible for the Scrum master role in Asana.
- Translate action items to Asana, help every team manage their process, and our entire organization to realize serious gains.
- Set Long-term and short-term goals for team members
- Monitor project progress, budgets, and resources to ensure projects are completed on time and within scope.
- Collaboration and Professional Practice:
- Collaborate on the development and documentation of conceptual designs, construction documents, and marketing materials.
- Participate in reviewing construction submittals and provide oversight throughout all phases of the project.
- Collaborate with Senior Professionals, Architects, and Principals to meet both creative and technical project requirements, contributing to the overall success of the firm.
- Participates in design critiques and pin-ups.
- Collaborate with Architects/Senior Professionals/ Design Architects in the preparation of plans and specifications of construction and/or alteration of buildings, conceptual and schematic design, and design development.
- Supports Architects, Senior Professionals, Designers in the development of material for presentations.
- CRM and New Client Management:
- Serve as the primary point of contact for prospective clients interactions, inter-department communications, and project proposals (RFPs).
- Assist in the preparation and submission of project proposals (RFP’s) Request for Proposals, for prospective clients and new work.
- Respond to new client inquiries and facilitate the onboarding process.
- Buildertrend for Z Builders
- Manage and maintain Buildertrend: Construction Project Management Software & App with project financials, drawings, subcontractor bids, schedule, and visual assets
- Prepare subcontractor agreements and coordinate necessary paperwork and documentation, including, but not limited to, up-to-date certificates of insurance, lien waivers, and circulating project status updates.
Typical project types include
- This position is responsible for all phases of small to large projects and/or specialized portions of a large/complex project. Interact with clients and consultants when necessary regarding technical and design issues and collaborate with a diverse group of individuals across disciplines.
Required Qualifications and Skills
- At least 3 years of professional experience using AutoCAD, Revit or similar BIM software. Knowledge of Photoshop, Illustrator, InDesign, Sketch Up and Google Slides.
- Basic knowledge of building construction systems means and methods, materials, and industry-associated standards are expected.
- Basic understanding of all phases of architectural document production and the relationship between drawings and specifications.
- Working knowledge of construction techniques, design, detailing, and document preparation. Basic knowledge of sources, regulations, building codes, and cost analysis.
- To check own work for accuracy and completeness and manage time to meet project budget and schedule.
- Ability to interpret sketches, drawings, building programs, and other similar materials. To communicate abstract ideas (verbal/written)
- Working knowledge of the design process, including compiling a set of construction drawings
- Strong leadership, organization, communication, and relationship management skills
- Impeccable attention to detail and strong work ethic
- Excellent time management skills; delivering work on time and to a high standard
- Excellent communication skills and ability to interact with all levels of staff/clients.
- Ability to communicate design ideas and direction quickly
- Ability to work in a professional and fast-paced environment and represent the brand in a positive light.
- Must have legal authorization to work in the US.
