Under general supervision and according to prescribed procedures, greets patients, providing necessary forms, and collects completed forms. Following prescribed procedures, orders medical records charts, prepares for appointments; adds appropriate forms to patient charts. Performs various clerical duties such as answering telephones, recording messages, copying materials, typing forms, filing records and the like.

Essential Functions:

Greets patients and families to the practice, provides necessary registration form to the patient for completion and signature, reviews same for accuracy, updates patient information and notifies staff that patient is ready

Efficiently and timely answers the phone and direct patients to the appropriate staff or records messages

Verify correct insurance information via card, or phone call to the insurance company as appropriate. File copy of card in chart.

Collection of co-pay or payments for services at each visit. Print and advise patients of any outstanding balance and collection of this payment.

Appropriately schedule, reschedule and cancel patient appointments. Prepare appointments schedules periodically or as requested for physicians and nurses.

Maintain various logs of daily activity, totaling payments received and balancing with encounter forms. Review for accuracy.

Timely input of visit information from encounter form after each appointment

Perform various clerical duties as assigned

Pull charts as needed; make charts for new patients; file records in charts

Perform other duties as assigned by providers, coordinators, and managers in accordance with established office policy

Maintains confidentiality and uses discretion when handling patient medical records and information

Required Skills/Abilities:

Able to use office equipment satisfactorily and handle paperwork/filing adequately.

Skilled in patient-service principles by creating a pleasant waiting room atmosphere.

Skilled in establishing and maintaining effective working relationships with staff, patients, and the public.

Ability to communicate clearly in person and on the phone and establish/maintain cooperative relationships with patients, families, physicians, staff, and other customers.

Ability to organize and prioritize tasks effectively.

Ability to read, understand, and follow oral written instructions. Can file correctly by alphabetical or numeric system

Ability to maintain confidentiality and handle sensitive information.

Knowledge of reception tasks, care center policies/procedures, paperwork.

Knowledge of how to use office equipment including phone, computer, copy machine

Knowledge of patient service concepts and techniques.

Education and Experience:

High school diploma or equivalent required

One year of prior experience in a medical setting preferred
