Overview:
As an Executive Assistant, you are responsible for administrative tasks as assigned, including initiating correspondence to clients, ordering supplies, acting as liaisons with clients, vendors, and internal management and assisting with travel arrangements. In addition, you will complete filing and answer inbound and outbound (email and fax) communication for assigned department/executives.ResponsibilitiesPrepare/Send Outlook notices for appointments, conference calls and meetings as requested. Update Outlook calendars for executivesProduce, revise and update documents, including Excel spreadsheets, Word documents, Visio diagrams, and Power Point presentations, as requestedPrepare monthly expense reports, both for cash reimbursement as well as AMEX charges.Secure off site meeting rooms, conference facilities, and catering services as requested.Coordinate travel arrangements, including flights, rental cars, and hotelsTrack updates that are submitted by executives on a recurring basis (i.e. Monthly Management Report) as well as special documentsServing as a communication liaison for executivesReceiving and appropriately channel telephone calls for executivesPrepare for and participating departmental conference calls: preparing agenda, meeting documents, meeting minutes, etcMaintain complete confidentiality and privacy of departmental mattersComplete all assignments in a timely mannerComplete any additional tasks and assignments as requestedQualificationsCollege degree or Equivalent5+Years Administrative ExperienceStrong Customer Service FocusClear Verbal and Written Communication SkillsAbility to Work in Fast-Paced Environment and Meet DeadlinesCapability to Work both Independently and as part of a TeamProblem-Solving Mindset with Ability to MultitaskStrong familiarity with Microsoft Office and Typing, min. 50 wpmTravel required - 5% of the time for annual conferencesAll onboarding employees will be required to complete a
