Work hours: 7:15am-5:30pm (2 days/week); 7:15am-4pm (2 days/week); 7:15am-1pm Fridays Alternate days to ensure coverage at desk until closing Monday-Thursday. Employee will have 1 hour scheduled lunch breaks Monday-Thursday.

The Intake/Scheduling coordinator position will work as part of a team that supports the Applied Behavior Analysis (ABA) program for children with developmental issues.
Primary responsibilities include coordinating patient care. This involves completing accurate intake questionnaires with families, monitoring of ABA referrals and waitlist, communication with referring medical providers as needed, entering patient information in the Electronic Medical Record, answering telephones, taking accurate messages, scheduling and confirming appointments, tracking patient cancellations and staff absences. The coordinator must provide excellent customer service, assure patients and families are informed and well cared for during their treatment and create an overall positive experience for patients and their families.
ESSENTIAL FUNCTIONS

Answering telephone calls, scheduling patient appointments and assisting with new intakesAppropriately moving and categorizing leads after callsObtaining accurate patient demographic information and entering this information accurately into billing and scheduling systemObtaining necessary signatures on patient forms and preparing these for scanning into electronic chartServing as the liaison between the family and ABA staff (e.g., Notifying ABA staff/families of cancellations/schedule changes)Managing coverage for sessions (Chattanooga region) and working with Regional Manager on coverage needsUpdating client/RBT schedules in Central ReachManaging referrals (checking folders, entering referrals, follow up calls, and determining documentation needs)Assists in uploading, scanning and faxing of documents into the electronic medical record.In addition to scheduling, may troubleshoot authorization issues, coordinate any needed changes with billing and BCBAs, and assist with guidance on cancellation/attendance policyCoordinates with Insurance and billing department to ensure eligibility requirements are met prior to serviceABA entrance duties (greet families, check clients in/out, complete opening and closing checklist, monitor entrance from front desk during peak drop-off/pick-up times)Excels in service excellence and works collaboratively and positively with all members of the teamAbility to organize and complete high volume workload accurately and in a timely mannerWork with different personality types while establishing and maintaining effective working relationships with patients, employees, providers and the public.Demonstrate support of change, assists in implementing change to processes and evaluates effectiveness.Works positively and collaboratively will all members of Center and Siskin Children's Institute Management and staff.Other duties as assignedRequirements
Education:
Required : High School Diploma. Two or more years' experience in an ABA practice or pediatric health care industry.
Preferred : Experience with Central Reach EMR system or other similar ABA systems, current Registered Behavior Technician certification.
