We are active seeking a highly organized and detailed-oriented Event Assistant to join our team. The person will report to the Events Manager providing support for the successful management of events, meetings, conferences, and ad-hoc tasks during daytime and nighttime events held at the Russell Innovation Center for Entrepreneurs (RICE). This role will interact with RICE Stakeholders, Partners, Staff, and external clientele.
RESPONSIBILITIES:
Assist Events Manager in coordination of events ranging in size from 10-100 guest.Coordinate with internal stakeholders and external vendors to ensure all logistical requirements are met.Create and maintain event timelines, ensuring all deadlines are met.Collaborate with the marketing team to develop event promotional materials.Conduct post-event evaluations and provide recommendations for improvement.Operate and maintain A/V equipment used to enhance live events, such as microphones, video recorders, projectors, lighting etc.Check-in for events, tours, event coordination, etc. Support planning / implementation of major RCIE Stakeholder eventsManage conference room reservations and organize all aspects for meetings.Collaborate with special event guests during the duration of their event.Maintain clean and tidy communal areas adhering to all COVID-19 protocols.Provide upkeep of and stock all meeting rooms, kitchens, and communal areas with necessary supplies.Support front desk personnel, checking in guests, answering questions and other receptionist duties.Requirements
QUALIFICATIONS:
1-2 years of experience in event planning, hospitality, marketing, or related field.Excellent organization skills and attention to detail.Strong interpersonal and communication skillsProficient in Microsoft Office and event management software.Flexible work schedule, including evenings and weekends, as required.Ability to work full-time hoursBenefits
