Dykema Gossett PLLC, a leading national law firm, is recruiting for an Administrative Assistant - Estate Planning (AA) in our Ann Arbor, Michigan office. Start date as soon as possible.
Under the supervision of the Office Administrator, the AA following established procedures and guidelines assists attorneys and paralegals in work group in providing quality legal services to clients by preparation of correspondence, legal documents, forms, etc. from dictation or handwritten drafts using various software applications. Maintains calendar, schedules meetings, maintains files, and submits accurate and complete timekeeping data. Performs other administrative duties as requested.
Administrative Assistant Duties:
Provides day-to-day support of attorneys and paralegals in the preparation, recording, filing and transmittal of estate planning and other legal documents.Creates, types, compares and modifies correspondence, memoranda, notes, outlines, legal documents, charts, forms, etc., whether from drafts, originals or dictation.Maintains attorneys' calendars, including scheduling and reminding attorneys of appointments and various other dates (which may not necessarily require their presence). Initiates and/or gathers from files, Records Center, Library, Internet, etc. pertinent materials which may be needed for meetings. Makes travel arrangements.Establishes, maintains and has control over all client, attorney or section files. Reviews files to assure all documents needed for meetings, closings, depositions, etc. are in the file and in proper order. Requests files utilizing LegalKey software. Utilizes support of Document Clerk and/or Records Clerk when needed.Enters new clients and matters into Elegrity system. Prepares and submits conflict check forms, screening forms and new matter request forms through Elegrity process.Enters attorneys' time from logs, diary notes, correspondence, knowledge of attorneys' activities, etc. for review utilizing DTE software. Maintains list of all current billing numbers.Attend client meetings to witness and notarize documents.Assists other administrative assistants with work overflow.Performs other responsibilities/tasks as requested.Qualifications:
High school diploma or equivalent educational training.Minimum three years of related work experience, in a legal environment, preferred.Excellent verbal and written communication skills, including spelling, grammar and punctuation.Excellent proofreading skills, with meticulous attention to detail.Proficient knowledge of Word, Excel, PowerPoint and Outlook. Basic knowledge of other word processing programs, Adobe, NetDocs and/or Visio helpful.Exceptionally strong organizational skills.Proactive and able to work independently and multi-task.Type +55 wpm.Exercises independent judgment in prioritizing assignments and assuring high priority items are completed in a timely manner.High degree of confidentiality regarding clients, guests, conversations, etc.Availability to work overtime on occasion.Additional Information:
Position requires full-time in-office work, Monday - Friday (remote work is not available for this role).This role is a temp position and will be ongoing for several months.Normal office environment.
