Your Role

Gensler's Southwest Region is looking for an Executive Assistant to provide strategic high-touch anticipatory support to two regional executives. The executives lead the Southwest Region as Regional Co-Managing Principals.

This is an exciting opportunity for an administrative professional to leverage their existing exceptional communications skills and complex coordination skills to elevate the executive support function to meet the executives and company’s needs over time. You will build a rich and meaningful partnership with the executives, working in a fast-paced environment that will provide, for the right candidate an opportunity for growth and rewarding relationships throughout the firm and community. This is an in-person position in the downtown Los Angeles office.

What You Will Do

Manage and organize the executive’s highly complex, demanding calendar and support the review of email inbox; act as a general deputy of time, fielding internal & external requests, and providing recommendations that reflect business priorities and ensure high impact.Builds and maintains excellent client relationships; stays on top of relevant client information. This includes interface with internal partners and executives.Extensive calendar and time management; ensures that executives are on time and prepared for meetings; consistently reviews calendar for changes, continually monitors and handles conflicts.Coordinates detailed travel reservations and oversees that changes or problems are resolved and communicated.Prioritizes and manages multiple projects simultaneously and follows through on issues in a timely manner.Prepares both routine and confidential correspondence, reports, presentations and other complex documents with high confidentiality and discretion.Coordinates on and offsite meetings, meeting set-up and clean-up. Attends meetings, as appropriate, to stay informed and abreast of current projects, events, and general pulse.Creates and coordinates presentations for major events (bonus/appointments/management committee meetings).Supports the executives on specific project needs for regional or Firmwide initiatives, including preparing presentations, meeting notes and follow up, and gather relevant data from firm databases or key individuals.Ensures Outlook Contacts are up to date and accurate.Coordinates attendance/details relating to professional memberships, community relations, civic responsibilities and social and/or personal obligations.Compiles and submits accurate expense reports as required and reconciles credit card statements monthly.Addresses miscellaneous tasks as requested or designated by executives.Your Qualifications

5+ years of experience as an Executive Administrative Assistant supporting Executive-Level Management in a corporate environment; experience in the architecture, design or commercial real estate development/brokerage industries strongly preferred.Demonstrates initiative and planning; capable of anticipating an executive's needs and staying "two steps ahead".Professional appearance and calm demeanor; capable of consistently maintaining a high level of composure, confidentiality and job focus.Excellent verbal and written communication skills.Strong problem solving, prioritizing, organizational and time management skills.Ability to work independently with minimal guidance.Strong proficiency with Microsoft Office suite including Outlook, Teams, Word, Excel, and PowerPoint; proficiency with InDesign, Salesforce, Illustrator and/or Photoshop preferred.For consideration, please submit cover letter and resume in PDF format.

The base salary will be estimated between $83,000 to $93,000 plus bonuses and benefits and contingent on relevant experience.
