This position is a full time based out of the Goddard House in Brookline.

WHAT WILL YOU BE DOING?

The Executive Assistant is full time and reports to the organization's CEO and Executive Director. Through proactive and effective executive of wide-ranging and multi-faceted administrative duties, this position supports key areas of our not-for-profit community work: Communications, Engagement, Fundraising, and Administration. The responsibilities of this role will require you to work closely with the Executive Director and to engage with several teams across the organization.

RESPONSIBILITIES:

Proactively support the CEO and Executive Director in managing calendars and contact lists, scheduling meetings; planning and supporting meetings, events, and other calendar commitments; following up on deadlines and commitments, and initiating appropriate action to ensure the most effective use of CEO and Executive Director's timeWord processing, editing and proofreading, copying and distributing documentsManage meetings and video conference calls - (space/lines, agendas, guests, invitations, communication, refreshments, minutes, action items, etc.)Establish and maintain an effective system for managing projects and tasksCoordinate fundraising efforts in conjunction with community partnerships office, including managing the donor database, assisting with the preparation of fundraising materials and donor communications, assisting with donor events and creating reports.Manage administrative components of new initiatives adopted by the organizationOrganize and maintain files (both paper and electronic on GDrive)Manage renewals of certifications and licenses, including filing certain documents with government agencies from time to timeProvide support in responding to communications for the CEO and Executive Director (email, telephone, etc.)Assist with the creation and distribution of written and digital communication; Prepare/edit reports and presentations; Assist with updating manuals and publicationsAssist the CEO in the development and distribution of presentations and white papers for external audiencesSupport the Board with any administrative duties including prioritizing calendars, planning meetings, taking meeting minutes, and distributing documentsPerform pro-actively and independently the full range of executive administrative tasks which involves a high level of responsibility and are of a confidential nature (calendar management, meetings, plan video/conferences, etc.).Manage and plan community eventsUndertake any additional tasks and new initiatives, as requested by the CEO and ED, and be willing to pitch in and help out when needed, in a spirit of cooperation and teamwork across the organization, to help fulfill our charitable missionBecome knowledgeable about Executive Office of Elder Affairs (EOEA) assisted living regulations, pertinent community policies, and the Goddard House mission and valuesAttend mandatory scheduled in-service training education programs to meet EOEA training requirements for assisted livingMaintain confidentiality regarding residents, Goddard House Board, and operations.CRITICAL SUCCESS PERSONAL ATTRIBUTES AND STRENGTHS:
