Executive Assistant to C-suite . You'll support a dynamic team of C-Level Executives across the country. The ideal candidate will act as the right-hand person to our leadership team, ensuring smooth operations and efficient communication within the organization. Our client is a growing, technology driven, late-stage start-up with a focus on innovation and a culture of transparency and collaboration.
Executive Assistant to C-suite Responsibilities:
Manage complex calendars for the C-Level Executives, prioritizing and scheduling appointments, meetings and conferencesCoordinate and prioritize conflicting commitments, ensuring optimal use of executives' time and maintaining flexibility for last-minute changesArrange domestic and international travel, including flights, hotels, ground transportation and visas as requiredCreate detailed travel itineraries and agendas, providing executives with all necessary information for seamless travel experiencesAct as the primary point of contact for the executive office, screening and directing incoming calls, emails and correspondence with professionalism and discretionManage office supplies inventory, procurement and vendor relationships to ensure smooth office operationsProcess expense reports accurately and in a timely manner, reconciling receipts and tracking expensesMaintain detailed records of expenditures and budgets for executive review and approvalAttend and participate in meetings, capturing comprehensive meeting minutes, action items and follow-up tasksOrganize and maintain digital and physical files, document, and records, ensuring easy accessibility and confidentialityAnticipate the needs of the leadership team and proactively address operational and administrative challengesCollaborate with other departments and executive assistants to facilitate cross-functional initiatives and projects, promoting synergy and alignment across the organization
Executive Assistant to C-suite Requirements:
Bachelor's degree in Business Administration, Communications or a related field strongly preferred5+ years of proven experience as an Executive Assistant supporting C-Level executives in a fast-paced corporate environmentExceptional organizational skills with the ability to prioritize tasks and meet deadlines effectivelyExcellent written and verbal communication skills, with a keen eye for detail and accuracyProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applicationsDiscretion and confidentiality in handling sensitive information and executive communicationsStrong interpersonal skills with the ability to build relationships and collaborate effectively across all levels of the organization
