Fast-growing, ML platform with a $1B+ valuation is looking for an Executive Assistant to support their CEO and Chief of Staff. This is an exciting opportunity to join a team of 200 that is at the center of AI! Proactively manage the CEO and Chief of Staff’s calendars, schedule meetings with high-level external stakeholders, organize and prep for Board meetings, book travel, and plan executive & team off-sites. This role will work alongside and report to the Chief of Staff. Someone with great attention to detail, strong communication, and creative problem-solving skills who will hit the ground running. Previous experience in a high-growth company with prior interaction with Board members and investors is a must. This is an in-office role based in their new space in the Mission District of San Francisco. 130-160K+ DOE + equity, 401k, great benefits, and unlimited PTO.Responsibilities:Ensure the CEO is prepared and organized for all meetings and events by proactively managing, assessing, and predicting their day-to-day needs.Manage complex calendars for the CEO & Chief of Staff.Schedule high-priority meetings with Board members, investors, and external parties. Follow up professionally and persistently when needed.Effectively anticipate deliverables and follow up by understanding the CEO's goals and objectives.Establish consistent organizational frameworks and processes to help with decision-making and operations for the CEO and organization.Develop strong relationships with leaders and cross-functional stakeholders to facilitate scheduling and handle inquiries.Manage email coordination, calendar scheduling, travel, expense reporting, and a wide variety of priorities.Effectively manage scheduling and travel coordination across multiple time zones.Assist with ad hoc projects including file organization, sending contracts for signatures, and other various tasks.Help plan team events within and across the organization such as department all-hands, off-sites, special projects, etc.Qualifications:5+ years of experience supporting Executive(s) in a venture-backed, high-growth organization, ideally supporting C-Suite.Prior experience interacting with Board members and investors is strongly preferred.Strong written and verbal communication skills.Exceptional organizational and time management skills, with strong attention to detail and a proven ability to take ownership of multiple projects.Demonstrated ability to handle confidential information with discretion and high EQ.Exhibit strong business judgment, meeting deadlines, and juggling multiple requests with ease.Ability to work independently and cross-functionally across the organization.Strong interpersonal skills and ability to quickly build rapport with internal and external partners.Excellent problem-solving skills, with an ability to recognize opportunities and develop ways of addressing them.Ability to work in the SF office is required. Periodic travel will be required.
