Safety is among the top priorities at Chicago Public Schools, and the Office of Safety and Security (OSSS) has implemented a comprehensive system that includes trained staff, protocols, programs, and policies to keep students and staff safe before, during, and after school. Within OSSS, the Student Safety Services team is responsible for the overall operations of the Student Safety Center, the district's 24/7 command center for safety communications. This team also manages the safety technology strategy and implementation for safety initiatives such as cameras and metal detectors.

Job Summary:

Reporting to the Director of Safety Services, the Data Coordinator will be responsible for working on confidential background check records including, but not limited to, downloading and reviewing information from multiple databases, following up with individuals via email and phone, updating records trackers, and preparing digital files with relevant documents for review and support.

This is a part-time/temporary position that will be compensated for time worked on an hourly basis. The work for this role will consist of an anticipated period of 12 months beginning 1/9/23 and ending 1/6/24. Due to the part-time/temporary nature of this work, this is not a benefit-eligible position.

The Part-Time Seasonal Data Coodinator will be held accountable for the following responsibilities:

Verify open records that are currently backlogged.Combine confidential data related to criminal backgrounds from multiple sources, including external and internal databases, and identify those that require follow-up.Use databases to download and decrypt background-related information; Save files on a secure, shared drive with the specific naming convention.Communicate with individuals via email and phone to obtain additional information.Update fields in spreadsheet trackers and use a tracker to report daily progress.Report daily on completed and outstanding records, and reasons for outstanding records.Identify active and stale records and determine next steps.Other related duties as assigned.In order to be successful and achieve the above responsibilities, the Part-Time Seasonal Data Coodinator must possess the following qualifications:

Experience Required:

Minimum of two (2) years of professional work experience with employee records and databasesExperience with MS Office, Google suite including using Google Drive for collaborative workKnowledge, Skills and Abilities:

Ability to use spreadsheets and skilled at using functions such as V-lookup and pivot tablesAbility to quickly learn and use new applications and systemsExcellent customer service and communication skillsHigh standards of support, ethical behavior, and professionalismAbility to maintain objectivity and confidentiality with highly sensitive informationConditions of Employment

As a condition of employment with the Chicago Public Schools (CPS), employees are required to:

Establish/Maintain Chicago Residency - Employees are required to live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency throughout their employment with the district. The Chicago residency requirement does not apply to temporary/part-time positions, however, all CPS employees must be residents of Illinois.Be Fully Vaccinated Against COVID-19 - Unless approved for a medical or religious exemption, all employees are required to be up-to-date on COVID-19 vaccinations, including boosters, and to submit proof of vaccination to the district within 30 days of hire. "Up-to-date" on vaccination is defined as being at least two weeks past all primary vaccine doses and any applicable boosters.
