SUMMARY

The Purchasing Specialist performs complex clerical duties in processing and expediting purchase orders. This position also performs other duties in support of the purchasing function.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, other duties may be assigned

* Verifies that all requisitions are complete and authorized by the appropriate and designated manager/supervisor.

* Receives, reviews, and processes electronic and paper requisitions for materials, supplies, and services.

* Issues and places purchase orders with authorized vendors by Internet, telephone, or fax, and notifies programs

when orders cannot be filled.

* Tracks the status of purchase orders through to delivery.

* Processes receipt of goods from all agency and affiliate locations.

* Distributes or arranges distribution of materials and supplies to end users at agency and affiliate locations.

* Prepares and maintains purchase orders.

* Processes vendor returns.

* Maintains knowledge of central stores inventory, tracks items, maintains log, and replenishes inventory.

* Issues and tracks company cell phones and pagers including monthly reconciliation of vendor invoices.

* Participates in regularly scheduled supervision and team meetings.

* Remains compliant with required trainings and certifications.

* Behaves in an ethical and professional manner consistent with agency policy, state law, and licensing entities if applicable.

* Understands and practices safekeeping of client protected health information per Compass Health's HIPAA and other agency policies and procedures.

* Demonstrates respect for diversity and a commitment to developing multicultural competency and sensitivity.

EDUCATION / EXPERIENCE / CERTIFICATIONS / LICENSES

* High School Diploma or equivalent required. AA or BA Degree preferred.

* Any combination of post High School education and relevant work experience totaling 3 years.

* 2+ years of computerized purchasing experience preferred.

* Valid Washington State Driver's License including vehicle and appropriate insurance, if applicable.

KNOWLEDGE / SKILLS / ABILITIES

* Thorough knowledge of Automated Purchasing Systems.

* Highly self-motivated and directed with the ability to also work cooperatively with others as a productive team member.

* Excellent customer service and interpersonal skills, with the ability to relate effectively and sensitively to a wide range of consumers and professionals.

* Ability to work calmly, effectively, and prioritize assignments in a fast-paced, high production, and high-pressure environment.

* Ability to maintain a positive, solution-focused demeanor when responding to conflicts or problems.

* Demonstrated organizational skills with an emphasis on attention to detail.

* Excellent communication skills, written and verbal.

* General computer proficiency, including demonstrated spreadsheet, word processing, and data entry skills.

* Ability to pass pre-employment criminal background check, which may or may not include an additional search by DSHS
