Job Summary
We are currently seeking a full-time Executive Assistant to join our team in Mahwah, NJ. The ideal candidate will provide executive assistance for Amare's Chairman and Chief Strategy Officer. To be successful in this role, they are expected to be highly professional, well-organized with excellent verbal and written communication skills. They must demonstrate a high level of integrity, maturity and confidentiality.
ResponsibilitiesProvide comprehensive support to the CEO/Founder who owns various entitiesManage an extremely active calendar of meetings/appointments by keeping all attendees well informed of upcoming commitments and responsibilitiesSchedule and plan various meetings/appointments, including booking conference rooms, organizing meeting materials and setting up video conferencesTake minutes on meetings, conferences, and appointmentsOversee and manage the Administrative Team of 4-6 membersCoordinate detailed travel arrangements, both domestic and internationalActing as the point of contact among executives, employees, clients and other external partnersManage information flow in a timely and accurate mannerFormat information for internal and external communication - memos, emails, presentations, reportsScreen and direct phone calls and distribute correspondenceHandle sensitive matters with a high level of confidentiality and discretionProvide off-hour support and high level of responsivenessPrepare and submit expense reportsPerform other clerical duties as neededRequirements
Minimum Qualifications:
Bilingual in Korean/English is ***required*** to be considered3-4 years of experience as Executive Assistant, Personal Assistant, or similar roleStrong work ethic and confidentialityAbility to follow directions, take initiative and proactively close loopsProficiency in Google Workspace, Microsoft 365 and ZoomSolid verbal and written communication skillsWell-organized, detail-oriented, ability to multi-task with great follow-up skillsAdaptive and flexible mindsetOutstanding organizational and time management skillsTravel requirements: 30-40% (domestic and international)Personal care/cosmetics industry preferred, but not requiredBenefits
