May report to a chair, director, or a higher level administrative operations professional or manager. Perform short- and long-term planning for the organization. May supervise staff or students. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.The Pediatric Emergency Medicine (PEM) Operations Analyst provides and oversees the administrative and operational support to the PEM Section Chief, Division Manager and PEM Division. This position independently analyzes and prioritizes issues in a fast-paced environment, manages the Section Chief's complex and demanding schedule, provides administrative support for PEM faculty, coordinates division activities, and plans and implements major events for the division and/or department. The incumbent oversees and manages the flow and exchange of information, streamlines interactions with key executives, and facilitates initiatives on behalf of the PEM Section Chief. The PEM Operations Analyst also partners with the DEM Education team, Program Coordinators/Directors and the Graduate Medical Education (GME) Office to onboard visiting residents.This position performs and/or oversees special projects or assignments that are sensitive or complex in nature, requiring independence and initiative in execution and implementation. The individual handles details and oversees work of confidential and critical nature to support the Section Chief and leadership team on matters of significance. Functions as the gatekeeper, understanding the requirements and support the needs of the Section Chief, leadership and management, in order to prioritize issues according to urgency and to allocate time for scheduled events, travel, and meetings.The PEM Operations Analyst reports to the PEM Section Chief and PEM Division Manager. This position requires professionalism, diplomacy, independent decision-making, organization, initiative, ability to prioritize work and various tasks accurately and independently, has the ability to interact with many diverse personalities, and to function effectively under competing priorities; has appropriate technical skills, attention to detail, effective time management skills, and the ability to perform with little or no supervision is a must. Assignments are often given on a project basis and the incumbent is expected to manage the entire problem-solving process: gather and sort information, identify potential solutions, and present the finished product in the form of a written recommendation or completed project.Department Description

The Department of Emergency Medicine (DEM) provides emergency medical care to approximately 175,000 patients annually at the UCSF Medical Center at Parnassus, UCSF Benioff Children's Hospitals at Mission Bay and Oakland and Zuckerberg San Francisco General Hospital and Trauma Center. DEM administrative and research staff supports the work of 87 full-time faculty, 70+ part-time attendings, a residency program, fellowship programs and over 300 house staff and students each year. Bachelor's degree in related area and 3+ years of related experience and / or equivalent experience / trainingInterpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skillsKnowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelinesAbility to use discretion and maintain confidentialityStrong skills in short-term planning, analysis, problem-solving, and customer serviceProven analytical, organizational, customer service, time management and problem-solving skillsAbility to exercise excellent judgment, tact, confidentiality and diplomacy in all interactions, and establish effective working relationships with sensitivity and respect for diversityDemonstrated ability to prioritize work accurately and independently, and to function effectively under competing priorities. Must be able to identify when to seek supervisor's guidanceAdvanced computer proficiency with Mac and PC platforms, Microsoft Office Suite (Word, Excel, and PowerPoint etc.) and a willingness to learn and implement new applicationsAbility to multi-task and organize information. Experience in and particular ability to organize, make judgments, and coordinate multiple types of tasks, while under the pressure of seemingly conflicting deadlinesPreferred Qualifications
