Summary : The Executive Assistant & Special Projects Coordinator provides administrative support to the President and CEO, other senior leaders, as well as coordinates solutions related to office services for the CVB team and facility. Manages Board of Directors meetings, including Board Committees.Essential Duties and Responsibilities:Travel plans, calendars, and itineraries for the President and CEO.Correspondence, coordinates projects, produces reports, and tracks expenses.Manages the Board and Executive Committee meetings.Schedules and communicates meetings to Board Members, set-up facility, tech setup and coordination, creates and distributes agendas, and tracks attendance.Takes minutes, transcribes, and distributes to the committee members in a timely manner.Stays engaged with and records the actions of board-related committees.Acts as a liaison to the Board and ensures their concerns/issues are addressed.Maintains permanent and confidential company files.Executes project management responsibilities that include research, planning, stakeholder communication/coordination, etc.Manages facilities including break rooms, meeting rooms, and work rooms.Acts as a backup for Simpleview CRM related data entry and management.Performs projects to be determined by the President/CEO (e.g., FAMS, Sales Missions, Special Employee Events).Competencies:Degree in a business-related field preferred; High School Diploma or GED required; three years or more experience as an executive assistant and/or project management experience required; or an equivalent combination of education and experience.Candidate will maintain a high degree of confidentiality and professionalism.Proficient in Microsoft Office programs.Experience and Requirements:Critical Thinking – Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.Time Management – Managing one's own time and the time of others.Communication – Refers to the ability to inform orally and in writing, with clarity and good effect. Handles difficult situations.Physical Demands:While performing the duties of this job, the individual must be able to remain in a stationary position for 90 percent of the time while operating their computer and performing office work. The individual needs to occasionally move about inside the office. They constantly operate a computer and other office productivity machinery, such as a calculator, copy machine, fax machine, and computer printer. They must be able to exchange accurate information with customers and others in the office while interacting. The employee must regularly lift and/or move up to 15 pounds, occasionally lift and/or move up to 25 pounds. The individual must be capable of reviewing their work for errors and adjust as necessary.Work Environment:The noise level in the work environment is usually low to moderate. The individual frequently works in a controlled climate.To perform this job successfully, an individual must be able to perform each duty satisfactorily.
