What you’ll be doing

Management of a team of Executive Assistants, Receptionist, and Mailroom staff, including training, development, succession planning, and performance management.

Management of an extremely complex and active calendar of appointments for the President & CEO and direct team of executives and business leaders.

Ensure appropriate staffing levels are maintained to ensure proper coverage of the Executive Leadership staff and hire additional staff as needed.

Communication of the President & CEO’s directives, including information on sensitive and confidential topics, to appropriate C-level and senior executives and other staff.

Maintain corporate records and legally required documents in accordance with corporate bylaws and policies for multiple governing boards.

Complete Board member orientation with newly recruited Board members and provide relevant information.

Act as a liaison between Board members and the President & CEO, and other C-Suite and senior level executives.

Confidentially maintain Board member files, including annual renewal and completion of Conflict-of-Interest disclosure and other required documentation.

Monitor Board member compliance with provisions set forth in the corporate policies and bylaws.

Complete expense reporting requirements; compose and prepare highly sensitive and confidential correspondence.

Arrange complex and detailed travel plans, itineraries, agendas, and compile documents for travel-related meetings.

Assist the President & CEO with planning, coordination, and preparation of annual C-suite and senior executive level performance evaluations and goal planning.

Planning and execution of committee meetings (Audit Committee, Executive Committee, Affiliate Boards, etc.), as required in corporate bylaws and policies.

Coordinate annual events/duties such as planning, executing, and hosting large organization-wide meetings and legislative events.

Planning and coordination of meetings with lawmakers on pressing issues and bills inside and outside of Hope Network.

Planning & coordination of meetings on sensitive & confidential topics, both internally & externally.

Coordinate, plan, and lead Bus Tours with Legislators, staffers, community leaders, and potential business partners.

Oversight of duties and planning for the President & CEO on external boards.

Approve invoices and purchases for C-Suite needs and events.

Responsible for logistics arrangements for Board members and other consultants at corporate and community events.

Anticipated Work Schedule

Monday-Friday 8am-5pm

Job Requirements

Bachelor’s degree required or a combination of education and demonstrated experience.

Excellent interpersonal and relationship-building skills.

Ability to provide stable, dependable, trustworthy, and emotional support for busy executive leaders.

Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly while maintaining attention to detail.
