Apogee Enterprises Inc.The Executive Assistant will provide expert and proficient administrative support to the Chief Human Resources Officer (CHRO) and Chief Information Officer (CIO). This role will be responsible for independently performing complex and diverse administrative duties and project support while taking a proactive approach to anticipate and meet the needs of the executives. Primary duties will include assisting with correspondence, scheduling meetings, coordinating travel and processing expense reports. In addition, this role will provide back-up support to the CEO Executive Assistant and other Executive Committee members as needed.Responsibilities

Day to day support of CHRO and CIO with day-to-day administrative support with a focus on calendar management, meeting scheduling, travel coordination and expense report processing.Provide back-up assistant to CEO and Board of Directors, and other Executive Committee members as needed; must be onsite for Board Meetings and other key Executive meetings and support CEO Executive Assistant as needed.Draft correspondences, prepare PowerPoint presentations and create Excel spreadsheets.Stay apprised of annual corporate calendar and operating rhythms and help proactively manage CHRO and CIO team operating rhythms.Assist in planning and coordinate logistics for special events for HR and IT teams, such as Quarterly IT All Hands Meetings, IT Leadership Offsites, HR Business Partner Summit, Quarterly Management Leadership Team, and key Leadership Development programs (e.g. Apogee Leadership Program & Apogee Sr. Leadership Program).Support the CHRO with confidential reporting, executive talent processes, candidate coordination and new hire onboarding.Pick up and sort mail daily for CHRO and CIO; prepare FedEx, UPS, and courier packages as needed.Develop effective professional relationships and partnerships with internal and external stakeholders and organizations; serve as liaison to team members, executives, and other Executive Assistants.Demonstrate high levels of professionalism and ensure confidentiality.Work independently, anticipating next steps, demonstrating initiative, exercising discretion and sound judgement to ensure the executives are well-prepared for all elements of daily and weekly schedule.Demonstrate learning agility and the ability to pivot to accomplish tasks and new assignments quickly.Identify issues and use effective problem-solving techniques and discretion to identify solutions.Serve as a knowledgeable resource on organizational policies and procedures.Process expense reports in a timely manner and ensure policy adherence.Provide project or program support as requested and prioritized by CHRO or CIO.Provide back-up coverage for general office administration.Help open and close office daily - hours for this position are 7:30-4:30pm Monday through Friday. Onsite presence is required Monday through Thursday or as requested by CHRO or CIO.Must be flexible to work overtime or take on additional duties as requested by the CHRO or CIO.Skills Required

Minimum 6 years administrative or executive support experience with increased responsibility, with at least 4 in a comparable role with C-Suite Executives.Associate degree with training in HR, technology, and equivalent experience.Unquestionable confidentiality, integrity, and judgement.Strong administrative, organizational, problem solving, time management and leadership skills.Must be able to multi-task and prioritize on an ongoing basis.Skilled communicator with exceptional skills in oral and written communication.Professional, friendly demeanor required, flexibility with work assignments, and the aptitude to be a team player with co-workers in the corporate office as well as those in the business units.Capable of quickly gaining working knowledge of the Company and building partnerships with other Executive Assistants.Excellent technical and analytical skills.Must be accepting of Apogee's diversity strategy and company values, abiding by all policies governed by the Corporate Compliance Program.Advanced skills with information technology to include Microsoft Office Suite, including PowerPoint, SharePoint, and Excel.Advanced knowledge of Web conferencing and videoconferencing applications, specifically WebEx and Microsoft Teams.Education/Experience Preferred

Minimum 8 years administrative or executive support experience with increased responsibility, with at least 2 comparable roles with C-Suite Executives; Board of Director exposure is a plus.Bachelor's degree in HR or related work experience.Prior experience with Workday HCM - Expense and budget tracking.Apogee and our brands are an equal opportunity employer.
