is seeking a skilled Administrative Assistant to join our team. Our ideal candidate will have 1-2 years of administrative office or customer service experience, with the ability to type 45 words per minute. Previous experience in a law firm setting is a plus. Strong organizational, communication, and multitasking skills are essential for success in this role.Responsibilities
Greet guests and provide a professional first point of contact for the firm.Answer incoming calls and take detailed messages to facilitate effective communication.Manage incoming mail, efaxes, and e-document deliveries, distributing them appropriately.Coordinate meetings, including sending invitations, reserving conference rooms, and arranging for necessary services.Process department mail and track incoming packages, ensuring timely distribution.Update document management systems and assist with administrative projects as needed.Monitor and route electronic mail service folders promptly.Maintain a tidy reception area and assist with overflow work from other assistants.Remain flexible and open to additional tasks or requests as directed by client coordinators.Requirements
Strong written and verbal communication skills with attention to detail.Ability to manage multiple tasks in a fast-paced environment.Interpersonal skills for effective communication with attorneys, staff, and clients.Organizational and prioritization skills for timely and accurate task completion.Proficiency with office equipment such as scanners, fax machines, and multi-line phones.High School Diploma or equivalent required; A.A. or B.A./B.S. degree preferred.1-2 years of office administrative or customer service experience required; experience in a law firm setting is a plus.Physical ability to perform tasks such as sitting, bending, computer use, and lifting up to 50 lbs.Note: This job description outlines essential duties and qualifications but is not exhaustive.
