Job Summary
Elias Law Group LLP is a mission-driven law firm, dedicated to helping Democrats win, citizens vote, and progressives make change, with offices in Washington, D.C. and Seattle, Washington. We are currently seeking a Legal Practice Assistant to join our firm in our Washington, D.C. office.
Legal Practice Assistants (LPA) provide routine administrative support, with direct to moderate supervision to designated attorneys, paralegals, and other Legal Practice Assistants. LPAs are members of case teams and may have the opportunity to travel for trials. The Firm is seeking a career administrative professional with experience for this role. Minimum QualificationsAssociate’s or Bachelor’s (preferred) degree and a minimum of 5 years of experience in a law firm or business setting.A strong interest or background in politics is preferred.Applicants must have excellent organization and prioritization skills and fluency in the various Microsoft Office applications.A successful candidate will be an exceptional oral communicator and be adept at prioritizing multiple projects across competing deadlines and be able to keep up with client-facing task tracking.This role requires a heightened ability to maintain positive and productive contact with attorneys, staff members and clients while observing confidentiality of client matters.Candidates must be able to work additional hours beyond the normal schedule as required, especially around relevant election dates or filing periods.Candidates must demonstrate excellent written and communication skills, work well individually and collaboratively, and demonstrate proactivity and problem-solving skills.Candidates must be able to pay attention to detail and know how to multi-task.Travel may be required.Essential Job FunctionsProactively maintain overview of timekeepers’ workload and caseload; anticipate next steps and implement follow-up procedures to ensure each task is appropriately tracked and carried through to completion.Create, edit, revise, redline, and/or proofread documents.Maintain timekeepers’ calendars, track and ensure compliance with deadlines, and file documents.Answer the phone professionally and take messages that capture the important details.Prepare outgoing mail and packages for prompt delivery, arranging for couriers as needed.Execute new client intake procedures and complete conflicts checks with firm software.Assist with the billing process, including daily time entry – entering, proofreading, and spellchecking – and assist in preparing final bills in accordance with Firm procedures.Assist in managing expense reports, including entering and submitting expenses using relevant systems.Coordinate client/attorney/administrative conferences, meetings, and appointments.Work with travel agency to make travel arrangements for timekeepers.Set up and maintain administrative and client files; file electronic and/or paper documents and information promptly and accurately.Copy, scan, fax, and prepare notebooks and other documents as needed.Assume responsibility for miscellaneous tasks and special projects as required.Be familiar with and adhere to all Firm policies.Be present at work during regularly scheduled working hours and as needed in the position.Keep supervisor informed of activities and of any significant problems and/or all personal schedule changes; provide timely and accurate time cards regarding hours worked and days missed.Coordinate absences within workgroups; proactively provide assistance to timekeepers in the absence of the regular Legal Practice Assistant, and, when time permits, to other Legal Practice Assistants.Adhere to the principles of client and Firm confidentiality.Overtime may be required during periods of high workload.Travel to assist in courtrooms (both local and non-local) may be available if desired but is not required.This position is a hybrid position and is required to be in the office 3 days a week.Position routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.Position requires that the employee be able to multi-task in a fast-paced work environment.Physical DemandsThis position is primarily a sedentary position.
