Hospitality / Hotel/Resort / AdministrationSummaryThis position is responsible for assisting the V.P, Human Resources and Human Resources Managers with all administrative functions of the HR Department at the Hotel EMC2, Autograph Collection and Fairfield Inn & Suites Chicago Downtown Magnificent Mile. This includes employee relations, onboarding, maintenance of employee files, event planning, benefits, and recruiting. Supports all staff and department teams with goals and in accordance with policies and procedures.

MUST SPEAK SPANISH TO BE A QUALIFYING CANDIDATEDuties and ResponsibilitiesReporting to the V.P., Human Resources, responsibilities and essential job functions include but are not limited to the following:

Work closely with the Human Resources Manager(s) to ensure smooth operations across all Hotel departments.Act as the face of SMASHotels to employees and potential employees by responding to requests and needs in a positive and supportive manner; researches to find solutions for questions that arise from employees.Explain company personnel policies and procedures to employees and/or job applicants.Work with HR Manager for New Employee Onboarding sessions as well as monthly training activities set by SMASHotels and Marriott.Administer, collect, and track paperwork for employee status changes - including pay rates, position status, new hires, terminations, etc.Maintain and update Employee Personnel Files; ensure they are compliant and up-to-date.Comply with federal and state regulations concerning I9 forms, employment records and documents.Assist with employee functions including team building activities, meetings and job fairs.Manage, maintain and own the administration of the Employee of the Month, Manager of the Quarter, birthday and anniversary program.Daily administrative duties including filing, scanning, faxing, copying, mailing and responding to phone calls.Maintain tracking and audit systems for new hires, terminations, I9, employee lockers, employee reviews, etc.Assist with all duties as assigned.
