This individual will aid in the daily operations of the business in regard to customer service, customer invoicing, and other duties as assigned by the Office Manager or Terminal Manager. Perform data entry, various accounting duties and/or general office duties to keep the office running efficiently.Duties & Responsibilities:Perform all general office functions including answering phones, radio communications, word processing, maintaining filing and record systems, faxing & photocopying, customer service and general office clean up or organization as necessary.Perform data entry and accounting functions as requested by the Office Manager including processing invoices, receipts, inventory and other duties as requested.Assist Office Manager with month-end processing of invoices, inventory, accounting and other reporting.Cross train in other office positions, responsibilities, and accounting system operation in order to fill in as necessary. This may include working with the corporate accounting office to resolve accounting related problems as necessary.Assist customers at the counter or via telephone with orders, invoices, statements and account information. Maintain good customer relations and solve problems.All other general office duties as requested by the Office or Terminal Manager.Requirements:Must have standard of office professionalism, knowledge and experience in general office procedures. Must have the ability to work well with others. Good communication skills are necessary and knowledge of computer applications, including Word and Excel (ability to create and maintain spreadsheets). Must have a positive attitude and the ability to work as a team.Physical requirements:Must be able to communicate via telephone and radio. Must be able to perform computer data entry work, and be able to stand, walk or sit for long periods of time. Must be able to lift a minimum of 25 lbs. on a regular basis.WORK ENVIRONMENT:The performance of this position requires limited exposure to industrial areas and marine locations which requires the use of personal protective equipment such as appropriate footwear, safety glasses with side shields and mandatory hearing protection. Industrial areas include hazardous chemicals, fumes, and petroleum by-products.
