Salary Range:

$109,000 – $120,000

A dynamic professional who leads and specializes in the planning, coordination, and execution of events ranging from large meetings to large-scale festivals. Responsible for orchestrating every detail to ensure the event unfolds seamlessly, meeting the objectives and expectations of clients and attendees alike. The ideal candidate will not only serve as the architect of live experiences but will manage logistics that will leave a lasting impression. This role is a dynamic mix of project management, creative development, and stakeholder coordination and participation. Facilitates the development of public trust and confidence in the City.

This position is an Essential classification and will be required to report to duty before, during, and immediately after a civil emergency.

Keeps the mission, vision, and values of the City of Port St. Lucie at the forefront of decision making and action; builds strategic and collaborative relationships and interacts with others in a way that builds confidence and trust; provides excellent customer service by taking action to accomplish objectives, maintains high levels of work and productivity by generating innovative solutions to work situations.

Manages all city special events.

Oversees and provides daily support to events department team.

Responsible for the department’s strategic plan and development of special events.

Oversees all aspects of events including planning, coordination, and execution of events ranging from large meetings to large-scale festivals.

Oversees the entire lifecycle of an event, from initial concept leading to the event finale, ensuring each detail aligns with the vision and goals of the event.

Oversees and maintains annually calendar of all city events.

Manages the department’s budget as well as each individual event budget.

Oversees event timelines and vendor contact lists.

Responsible for maintaining strong client relationships throughout the event planning process and beyond.

Responsible for the oversight of all event agreements/contracts.

Works with the legal department to ensure legal review of all event contracts/agreements.

Ensures all risk management requirements are met for all agreements/contracts.

Working with the special events team develops creative event concepts and themes that align with the city’s objectives and brand.

Maintains collaborative relationships with all city departments, executive leadership and the City Manager’s office to maximize effectiveness of all events.

Responsible for the oversight of event proposals, timelines, suppliers, staffing and budgets.

Oversees securing and managing venue contracts, as well as coordinating with external vendors such as caterers, decorators, and AV technicians, city department support, etc.

Oversees the logistical aspects of the event, including setup, transportation, and accommodation for attendees.

Coordinates with the communications team to promote the event and manage the brand presence across various channels.

Leads cross-functional teams, including internal staff and external contractors, to execute the event plan.

Monitors the event in real-time to address any issues and ensure a smooth experience for all participants.

Conducts post-event evaluations to gather feedback, assess the event’s success, and identify areas for improvement.

Conducts presentations as necessary.

Other duties as may be assigned.

SUPERVISORY RESPONSIBILITIESCarries out supervisory responsibilities in accordance with the City’s policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

MINIMUM QUALIFICATIONSTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Ability to work evenings, weekends, and holidays as required. EDUCATION AND/OR EXPERIENCEGraduation from an accredited college or university with a bachelor’s degree in hospitality, Event Management or other related field required. Track record of success in senior leadership roles with a minimum of five years related exempt level experience, and five years of experience managing exempt level employees. Must be able to demonstrate strong leadership skills and excellent communications skills. Must be able to meet deadlines and can multi-task. Must have extensive experience implementing events and managing budgets. Must have experience in supervising internal and external staff. Possession of valid Florida driver’s license and maintenance of clean driving record required.

A comparable amount of training, education, or experience may be substituted for the minimum qualifications.
