Position Summary:SEIU-UHW is seeking a highly skilled and experienced Secretary that is well organized, and, able to manage a diverse set of clerical and support functions and projects, often in a face paced environment. Under general supervision, the Secretary is expected to contribute to the growth, successes, and priorities of the organization.

Requirements

Essential Job Functions:•Perform reception duties such as: answer/route/respond to calls, take messages, welcome visitors, and maintain lobby and reception areas•Receive and process incoming and outgoing mail, faxes, and deliveries/packages, including large mailings•Compose, edit, and format documents, files, and spreadsheets, and maintain as needed•Prepare for meetings: reserve rooms, prepare and arrange layout, food ordering, and establish and maintain vendor accounts•Print and copy documents or files as needed/requested•Provide Division, Department, Campaign and Organizational support•Ensure department operations are organized and well maintained•Work on special projects or tasks as assigned by immediate supervisor•Collaborate with and support peers as needed•Other duties as assigned

Qualifications:

•At least two (2) years of increasingly clerical and/or secretarial work•Demonstrate ability to type 50wpm (minimum)•Follow and understand oral and written instructions•Excellent and professional communication and customer service skills•Knowledge of Office 365 applications: Word, Outlook, Excel, Teams•Accurate proofreading and grammar skills•Ability to operate and troubleshoot standard office equipment and machines (laptop/desktop, copier, fax, folding and postage machines, etc)•Ability to work effectively under pressure, problem solve and be solution oriented•Must be able to establish and maintain effective working relationships with staff, members, and outside agencies and vendors•Flexible attitude in handling multiple priorities and adopting new systems and processes•Ability to read and interpret documents, policy, and procedure manuals, and, able to execute and communicate them to others•Learn specific operations of the office•Learn new systems in a reasonable length of time•Experience using a ticketing system, electronic fax, and video conferencing system, preferred•Bi-lingual strongly preferred

Qualified candidates will be subject to an aptitude test.

Physical Demands:

•Ability to sit for up to two (2) hours at a time•Ability to stand for up to two (2) hours at a time•Able to bend, stoop, lift and move at least ten (10) pounds
