Position Summary

In the Data and Student Information Manager (DSIM), KIPP is seeking an experienced professional committed to managing and maintaining impeccable student information, data and records, assisting with seamless school operations and supporting excellent teaching and learning by providing the data needed to inform decisions related to enrollment, attendance and academic progress.The DSIM at KIPP is the school-level student information system (SIS) manager, manages all student records and works with KIPP’s Regional Support Office to manage our annual compliance calendar and ensure records and reporting are aligned with local, state and federal laws and regulations. They are responsible for managing student registration, scheduling students, ensuring accurate daily attendance, maintaining complete student files, supporting standardized testing, managing online grade books, and running report cards, progress reports and transcripts. In addition, they are responsible for training and supporting staff with school-level issues related to PowerSchool and SchoolMint.The DSIM reports to the Director of School Operations (DSO) and works closely with the Regional Data and Operations team, the School Operations team, and School Leadership.Preferred Qualifications

Manages the school’s lottery, registration and enrollment processPlans, facilitates and communicates all lottery preparation, including student data management and quality control in KIPP Bay Area’s lottery management system, SchoolMintFacilitates pre- and post-lottery enrollment offers and communication for both accepted and waitlisted studentsOwns and is accountable for the online student registration process, as well as the collection and tracking of registration materials from families of admitted studentsLeads enrollment of verified students into PowerSchool, KIPP Bay Area’s student information system, and California Longitudinal Pupil Achievement Data System (CALPADS)Builds and implements school-wide systems to process and verify student transfers, student withdrawals, and no-shows, as neededOversees day-to-day attendance and truancy policy and proceduresEnsures the accuracy of students’ daily attendance records by analyzing and reconciling attendance data, preparing and distributing daily, weekly and monthly attendance reports and leading bi-annual district attendance compliance auditsTrains and manages teachers in taking timely, accurate attendanceSupports the goal of achieving a high ADA and reducing chronic absenteeism by managing communication to truant students and supporting attendance related incentives and interventions, as neededLeads the collection, cleaning and management of all student information and dataLeads the collection, quality control and ongoing management of key student information, including eligibility for free and reduced price meals (FRPM) and health and immunization status.Builds and maintains systems to ensure accurate student records, in accordance with federal and school-based policies and audit and compliance guidelines, and facilitates requests for student records from other school districts and the Regional Support Office.Ensures confidentiality and security of office space, files, and all information pertaining to students, parents, staff, and community, including preparing files for storage in accordance with KIPP’s records retention policy and state and federal laws, regulations and guidelinesIn partnership with Regional Operations, manages KIPP’s student information system database, PowerSchool, for all users on campus, including serving as the campus-level system administrator; maintaining clean, accurate student demographic, academic and discipline data; managing PowerSchool’s parent and teacher portals, including maintaining clear standards related to permissions and user access; and training school leaders, teachers, and other school staff to efficiently use the SIS and gradebook.Partners with Regional Operations and school-based testing coordinators to facilitate the implementation of standardized testing, including SBAC and ELPAC.Complete other duties as assigned by the School Leader, Director of School Operations or Regional OperationsSupports with high school scheduling and tracking student progress to graduationPartners with DSO to lead student scheduling, including developing and preparing the school’s master schedule in PowerScheduler; scheduling students in classes; exercising judgment to adjust student schedules; and monitoring and updating the course catalog to ensure course integrity for scheduling.Manages and maintains electronic academic records for enrolled, withdrawn, or graduated students; manage student credit history by entering, updating, and proofing official transcripts for all students enrolled, withdrawn, or graduated; and processes quarterly and progress report cards and transcripts for students.Develops, reviews and communicates recommendations related to on-track graduation rates, credit recovery, and transfer credits by managing a credit monitoring tool.Ensure student data integrity and compliance with all local, state and federal reporting guidelinesDevelops a deep familiarity with federal, state and local laws and regulations related to compliance, reporting and public programsParticipates in regional audits to ensure 100% accuracy of student data and leads school audits to ensure regional audits produce no findingsManage student information data requests from local authorizers, as well as those requested by internal KIPP stakeholders for grant reports, research requests, and KIPP Foundation reporting.Physical, Mental and Environmental Demands
