Abilities First is seeking a Receptionist/Secretary. This position is responsible for providing clerical support in an organized, detailed, and proactive manner. Responsible for performing secretarial responsibilities with good judgment and confidentiality. The Receptionist / Secretary will positively represent the agency by demonstrating a friendly demeanor to visitors at all times.

This is a 32.5-hour position for 50 weeks, Monday - Friday 8:00 am to 3:00 pm.

Base Salary: $16.40 - $18.00 an hour

Responsibilities include but are not limited to:

Maintain the switchboard for Administration. Answer all incoming calls, and direct calls, take messages accurately; transfer to voice mail, send messages through e-mail, and ensure all messages are delivered.Greet visitors and maintain the sign-in sheets. Notify appropriate individual (s) about visitors and assist them accordingly.Set up files, files appropriate paperwork, maintains files, including copying and mailing of reports.Responsible for issuing and maintaining records for all purchase orders.Scheduling and cancelation of appointments.Organize take minutes of and do related correspondence for all meetings.Typing of confidential reports, schedules, evaluations, letters and general correspondence.Sort and distribute all agency mail and inter-office mail. Stamp and take all mail to the mail slot. Responsible for taking all certified mail to the post office. Check in all shipments and have them delivered to the correct recipient.When receiving money (checks, cash, and coin) in the mail or in person you must date stamp, and make copies as necessary, i.e.: development and fiscal. Total all monies that come in that day and give to the appropriate individual in the fiscal department.Responsible for purchase orders for Administration / Advancement. Maintain inventory of supplies and order as appropriate.Responsible for the maintenance of the copy machine which includes contacting the appropriate individual when the copy machine is not working properly and ordering supplies as necessary, such as copy paper, toner, staples, etc.Perform other clerical tasks as required, such as assisting with in-house correspondence and mailings, maintaining authorization, compliance, and photo release forms, provide additional support as needed for the Advancement Department.This is a full-time position eligible for these benefits:

Must have a High School Diploma or equivalency diplomaA minimum of 1 to 2 years of experience in a clerical setting is requiredThis position requires excellent organizational and communication skills, comprehensive computer experience, proficiency in Microsoft Office, and good typing skills.Must have a current NYS driver's license, free of moving violations; deemed acceptable by our insurance carrier.
