SUMMARY OF DUTIES
Reports to a member of the Executive team. Performs technical and advanced administrative duties in support of the organization in the areas of procurement, contract management, compliance reports, budget and financial management, report preparation and internal/external communication. Oversees administrative contracts. Coordinates various Board and committee meetings. Flexibility required as responsibilities and priorities may change. Involves a high degree of confidential information.
EDUCATION AND TRAINING REQUIREMENTS
High school plus additional training equal to 2 years of college, which requires knowledge of a specialized field or may lead to licensing (data processing, accounting, human services), or formalized apprenticeship program. For example, certified substance abuse counselor, bookkeeper, etc.
EXPERIENCE
Over two years, up to and including four years.
SPECIAL KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
Excellent communication and interpersonal skills; effectively coordinates with staff, contractors and Board members - in-person, via email, and via telephone.
Collaborates with diverse teams and builds consensus.
Prepares business correspondence.
Performs work consistent with standard office administrative tasks and procedures, including use of standard office equipment and Microsoft Office applications - including MS Excel, Word and Sharepoint.
Performs technical, specialized, complex and difficult administrative work requiring the use of independent judgment.
Interprets and implements policies, procedures and computer applications related to the office and organization unit to which assigned.
Analyzes and resolves administrative and procedural problems.
Performs research and prepares reports and recommendations.
Oversees projects or programs and/or supervising, monitoring and evaluating the work of volunteers and temps as directed.
Organizes own work, coordinates projects, sets priorities, meets deadlines and follows up on assignments with minimum direction.
Uses initiative and independent judgment within established policy and procedural guidelines.
Valid driver's license, current no-fault insurance and access to an insured vehicle.
Ability to work flexible hours as needed.
OTHER POSITION REQUIREMENTS
This job requires a valid Hawaii driver's license, a clear driver's abstract, and willingness to travel in personal vehicle on an as-needed basis throughout the island.
This position is subject to a criminal background investigation and continued employment is contingent on a record clear of convictions.
