Job DescriptionThe Role:We are seeking a dynamic, detailed, and highly organized individual to join our team as an Executive Administrative Assistant, providing essential support to our Senior Vice President of Software and Services, Software Engineering. This role offers an exciting opportunity to work in a fast-paced environment and contributes to the success of our organization.What you’ll do:Streamline administrative tasks to optimize the valuable time of the leaderImplement efficient systems for managing office routinesFacilitate prompt handling of correspondence, global mail requests, and phone callsPrepare well-crafted reports, letters, and other documentsAnalyze routine data to provide valuable insightsMaintain accurate records, confidential files, and GM-specific reportsSchedule complex meetings and manage multiple calendarsContinuously seek ways to improve day-to-day efficienciesProvide onboarding support for new employeesCoordinate travel arrangements, including visas, passports, and expense reportsManage invoicing for department-related purchasesProvide IT, cell phone, and MML assistanceSupport non-disclosure agreement processesEmbrace technology and leverage tools for efficient office managementYour Skills & Abilities (Required Qualifications) :At least 5-7 years of experience as an executive administrative assistant or in similar rolesAbility to handle highly confidential information with integrity and trustworthinessExcellent time management skills, with the ability to coordinate and prioritize tasks effectivelyAdaptability to handle last-minute changes efficientlyStrong attention to detail and exceptional multitasking abilitiesExperience working with senior management or executives in an administrative capacityDemonstrated planning and organizational skillsStrong interpersonal skills and problem-solving abilitiesProficiency in COe software, including MS Word, Excel, PowerPoint, scheduling, internet, and SharePointExcellent written and verbal communication skillsEducation & Training :Two-year degree or professional certification in a related field or equivalent work experience (ten years)Four-year college degree preferredThis role is categorized as hybrid. This means the successful candidate is expected to report to Mountain View, CA three times per week, at minimum.This job is not eligible for relocation benefits. Any relocation costs would be the responsibility of the selected candidate.The compensation information is a good faith estimate only. It is based on what a successful applicant in the California Bay Area might be paid in accordance with the California law.The annual salary range for this role is $98,900 - $158,000.
