Job Description

The base salary range for this position is $70K - $75K.Manage small social IPO bookings (0-20 rooms = Reservation Form Agreements).Assist weddings managers with creating and managing wedding room blocks (0-20 rooms).Create contacts, accounts and bookings in Delphi.Create proposals, contracts and "Reservation Forms"Create expenses reports, trip reports and group invoices.Planning, preparation and hosting social group site visits, which may include client entertainment.Assist sales team with Delphi accounts/bookings management, contracts, proposals, lead qualification, prospecting, expenses reports, trip reports, group invoicing, etc.Assist with advanced sales trip planning and post-trip follow-up.Secure dinner reservations, golf, spa, activities, etc. on behalf of clients/VIPs.Attend daily morning operations meetings when the sales manager is not on property or otherwise not available.Monitor daily glitch reports for in-house groups, VIP clients and site guests on behalf of sales managers.Assist with site/VIP reservations, required site documentation (including InSITEful Journeys) and partner with reservations as needed.Pre-planning and preparation for site visits and VIP stays in collaboration with sales managers.Participate in planning sites in tandem with the events department as needed to assist with room shows.Conduct site inspections when the sales manager is not on property or otherwise not availableMeet/Greet group clients and VIPs upon arrival and departure.Coordinate amenities.Advance rooms before arrival and/or before the start of site tours.Be familiar with all hotel services/features and local attractions/activities to respond accurately on behalf of sales managers.Additional tasks as assigned by the DOSM and DOSPerform other duties as directed, developed or assigned.Periodically assist events team with group operations on an as needed basis.Be a resource for other departments in search of group-related information and documents.Qualifications

Experience in the hospitality industry is preferred, but not required.Proficient with Microsoft Google Suite (Gmail, Google Slides, Sheets, Docs, etc). Proficient with Microsoft Office (Word, Excel, PowerPoint, etc.).Knowledge of Opera PMS and Salesforce Amadeus fdc (Delphi).Understanding of the Hawaiian Islands and key differentiators between each island.Excellent reading, writing & oral proficiency in the English language.Attention to detail. Ability to multitask. Must be able to type 40 wpm.Required clerical responsibilities; typing, filing, faxing, photocopying.Able to handle a large volume of telephone calls and emails efficiently and courteously.Food and Beverage knowledge is a plus.Work well under pressure, ability to multitask, and a team player.Detail-oriented, well-developed organizational skills, and a strategic thinker.Minimum travel required.
