Position Overview:

The Associate Specialist/Specialist, IT Procurement will be an integral member of the DAI Technology Finance and Procurement Team as they manage DAI’s IT contracts and procurements in support of the office of the CIO. The candidate will work closely with the DAI Technology Finance and Procurement Team to ensure all contracts, vendors, and procurements are managed effectively and in line with DAI’s policies and procedures, as well as any client requirements.

This role interacts with multiple departments at DAI and requires excellent written and verbal communication skills. The Specialist must be able to manage processes, communicate well in written and verbal form, and have an advanced level of experience using Microsoft Office 365 Suite.

This is a full-time, permanent position located either in Serbia or the United States, requiring the ability to work in either location without employer sponsorship.

Responsibilities:

Ticket management for IT Procurements, following established procedures for triage and response. Escalate issues as appropriate.

Monitor the IT Finance & Procurement team inbox, ensuring timely responses and escalating issues if required.

Manage the Corporate IT Procurement Card account reconciliation and reporting.

Manage the reconciliation of DAI’s Amazon Business Account and associated reconciliation process.

Ensure all necessary documentation is on file for account reconciliation and reporting, working with vendors and internal clients as needed.

Support the effort to move all DAI Technology P-card purchases to DAI’s accounting and management system (currently Oracle EBS, future SAP).

Assist in creating, requesting, and/or preparing allocation reports for allocating software costs to DAI’s projects.

Respond to allocation-related inquiries in a timely manner.

Create, update, and maintain corporate IT hardware and service requisitions.

Update and maintain the IT Contracts management database in a timely manner.

Function as a liaison between IT and vendors for all software, hardware, services, and renewals.

Work with Help Desk regularly to ensure adequate inventory maintenance.

Recommend ways to improve IT procurement processes and support the implementation of process improvements.

Other Responsibilities:

Manage the web accounts for the team and ensure passwords are maintained in DAI’s password management tool.

Qualifications & Skills:

Grade 4:

More than 2 years of relevant professional experience and a college degree. Equivalent combinations of education and experience will be considered.

Grade 5:

Minimum of 4 years of relevant professional experience and a college degree. Equivalent combinations of education and experience will be considered.

Demonstrated understanding of Information Technology and procurement processes, particularly IT procurement.

Professional proficiency in MS Office suite, with advanced Excel skills including moderately complex formulas, pivot tables, etc.

Excellent attention to detail and strong organizational skills with the ability to prioritize multiple tasks simultaneously.

Able to work as part of a decentralized team with minimal oversight and handle confidential information with discretion.

Excellent written and oral communication skills in English, with the ability to communicate clearly and professionally with diverse audiences.

Able to build and maintain excellent working relationships with staff at all levels and external clients.

Able and willing to adjust work schedule to support teams in different time zones/countries.

Familiarity with the importance of diversity and inclusion, and able to work effectively within a culturally diverse environment.

Authorized to work in either Serbia or the United States without employer sponsorship.

Preferred, but not required:

Experience with SharePoint.

Experience with PowerBi or similar data analytics software.

US Government Procurement Experience & Knowledge of FAR.

Strong problem-solving, analytical, communication, and technical skills.

Proactive and able to work effectively in a team environment.

Working Hours:

Serbia: work hours are expected to be 2 p.m. to 10 p.m. CET.

United States: work hours are expected to be 9 a.m. to 5:30 p.m. EST.

Salary:

Associate Specialist (P4):

$71,667 - $77,991.

Specialist (P5):

$82,417 - $96,962.

Salary for part-time employees will be prorated based on actual hours worked. Actual offers will be based on qualifications, experience, skills, and organizational needs.

Eligible U.S. based employees will be able to enroll in medical, dental, and vision insurance, plus a 401(k)-retirement plan with a company match. Employees will also be eligible for company-paid annual leave, sick leave, parental leave, and disability coverage.

For employees working outside of the United States, compensation and benefits will vary based on location.
