General Summary/ Overview StatementThe Operations Manager serves as a key member of the primary care central administrative team within the Primary Care Center of Excellence at Brigham and Women’s Hospital. Under the direction of the Senior Director, the Operations Manager is responsible for managing the day-to-day performance and efficient and effective functioning of centrally managed, key strategic initiatives across our network of primary care practices and programs. Examples of potential focus areas for 2024 are efforts such as Teamness and Culture Building, Physician Inbasket Relief Team, and Practice Manager development and mentorship. Develop an internal recruitment program to source potential candidates.Recruit candidates by reviewing their resumes and qualifications. Select qualified candidates to be interviewed after ensuring the candidates' qualifications and skills are acceptable for the job opening.Responsible for drafting job descriptions and work responsibilities for a candidate in order to highlight all skills and qualities that are important for this job with an accurate list of all the requirements expected from the candidate.Possess expert knowledge of the marketplace and deliver reliable information to physicians in order to match each physician’s professional and personal goals with our recruitment opportunities.Develop and maintain working knowledge of the health system and regional communities in order to market effectively to candidates.Participate in the evaluation of physician needs within BWH Primary Care. Working with administrative and physician leaders; participate in the active recruitment process within the system. Work closely with Division, Department, and Human Resources representatives once the employment offer is signed.Assist in the coordination of recruitment efforts including working with physicians, recruiters, and administrative staff to ensure identification of candidates, screening and interviewing of candidates, and ensuring appropriate candidates select BWH Primary Care.Develop relationships with residency programs, directors, and the residents to source candidates for newly posted positions.Promote and utilize the most efficient, appropriate, and effective communication tools, taking care to customize the approach to individual physicians’ preferences.Develop recruitment packages to ensure optimal success in recruitment efforts.Develop, implement, and facilitate a physician-specific Orientation Program that will yield success in “on-boarding” new and existing providers to resources, referral management, and dissemination of key information about the health system. Improve communication throughout BWH Primary Care through personal contact via visits and regular communication with primary care practice leadership, including routine or follow-up visits/phone calls to providers throughout their employment term.Assist in the coordination of all recruitment activities including tours of key areas of interest within the BWH Primary Care service area.Ensure physician and candidate arrangements during pre-interview, interview, and post-interview are conducted optimally.Serve as a liaison to BWH marketing and communications departments for the review and development of materials to promote BWH Primary Care and new providers. Develop a “packet of key materials” that should be provided to all potential recruits regarding BWH Primary Care and the comprehensive services offered.Lead the identification, interview coordination, and recruitment follow-up with identified recruitment firms and candidates. Manage the relationship between BWH Primary Care and recruitment firms.Maintain a recruitment database for all candidates and agencies.Identify and resolve physician or systemic and specific service delivery issues and recommend methods to improve and streamline services.Serve as administrative lead between newly hired provider and BWH Provider Services to ensure timely completion of provider applications. Provide continued support on behalf of the new physician throughout the credentialing and enrollment process.Customer Service Responsibilities

This position relies heavily upon communication and the candidate must have excellent oral and written communication skills.Maintain strict confidentiality within the group and community of all strategic and other information regarding physicians, practices, and the medical center.Perform all duties in accordance with the health system’s mission, vision, and values.Serve as goodwill ambassador for BWH Primary Care and the health system.Supervisory/Managerial Responsibilities

No formal reports. Must be able to use influence to reach desired outcomes.Fiscal Responsibilities

This position will primarily be working in a remote capacity, though will require periodic in-person visits to our primary care locations.SKILLS/COMPETENCIES REQUIRED

Strong interpersonal skills, communication skills, knowledge of marketing principles, ability to balance physician and hospital needs while remaining poised and assertive; knowledge of physician practices.Must project a professional image. Ability to interact and effectively communicate with physicians and staff of various levels.Must have an understanding of health care and specifically the medical/physician community.Be able to apply marketing/public relations techniques to present practice opportunities in a positive manner.Must be familiar with fair employment interviewing and employment laws.Exhibit a high energy level, and demonstrate the ability to work as a team, with flexibility in work habits to schedule and meet the needs of the client.Incumbent is required to maintain a valid driver’s license and personal vehicle as travel to practice sites is required.Education Required

Bachelor’s degree preferred in business, marketing, public relations communications, or healthcare.EXPERIENCE REQUIRED

Five (5) years of experience in working in a health care system with direct interaction with physician providers. Strong public relations background preferred.Primary Location
