The Order Desk Associate is responsible for assisting the Order Desk Supervisor in their duties. This involves fulfilling orders, liaising with wholesale sales representatives to ensure customers’ satisfaction, and handling inbound and outbound sales representatives’ calls related to product orders, shipping arrangements, and more.
This position is a Full-Time, Monday-Friday, ONSITE role.
ESSENTIAL DUTIES AND RESPONSIBILITIES
– Current duties may be changed if the job requires and/or additional duties may be assigned if necessary.
The ODA is responsible for downloading web orders, answering order calls, and monitoring orders at the San Antonio Winery. They must have in-depth knowledge of the products, promote new products, and stay aware of inventory stock and out-of-stock issues.
The ODA must call customers/sales representatives to discuss any out-of-stock items or substitution possibilities and coordinate logistics for pickup or delivery.
Ensure that the sales order is correct and understand the different pricing structures, such as Schedule J & K and the different price books. This is crucial. Once the sales order is packed and completed, it must be picked up from the warehouse for invoicing.
When the order desk is not busy, the ODA will be asked to help with special projects, such as sales/wholesale tax filing, product registrations, inventory reconciliation for different locations, and other ad hoc projects for the assistant controller or controller.
Order Desk Associate must also maintain operations by following policies and procedures, reporting needed changes, maintaining customer confidence, and protecting operations by keeping information confidential.
Required Skills/Abilities:
1 Year of Data Entry Experience is a must
High school diploma
Wine Industry preferred but not necessary
Logistic experience is a plus
Being bilingual is a plus
Strong MS Office computer skills / Sage experience
Good math skills (weights, pricing, etc.).
Good communication skills.
Sound problem-solving abilities.
