This team is critical in helping to ensure that our company remains effective in decision-making and has streamlined workflows.THE ROLEThis position serves as a trusted assistant to the Founder and CEO, and the leadership team.The responsibility of the role is to manage and elevate the administrative and project management duties of the Chief Executive Officer in all daily initiatives for global business and brands, and philanthropic endeavors.A successful candidate would thrive in a professional, fast-paced environment bringing expertise and experience in responsive, and effective support, by incorporating a forward-thinking, can-do attitude, with a proactive and solution-oriented outlook.The position requires a detailed focus on delivering the highest level of written and verbal communication, whilst bringing a team-player mentality, and the ability to work cooperatively with others.POSITION RESPONSIBILITIESManages the Founder and CEO’s complex calendar and attention to detail in scheduling and confirming all meetings, appointments, and events.Schedules meetings, assists in the preparation and distribution of meeting agendas and materials and recaps as required.Provides administrative support for the Founder and CEO on all levels.Partners with the CEO to create culture-building events for the organization.Collaborates with internal team members and external partners to coordinate ongoing projects and meetings.Acts as a liaison between the CEO and team members, managing communication timely and effectively.Keeps Founder and CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up.Represents the CEO in key communications with internal and external partners, and builds crucial relationships at all levels of the organization and beyond.Proactively anticipates and meets the Founder and CEO’s expectations for deliverables.Maintains the Founder and CEO’s business contact databases.Manages customer and employee gifting needs including personal sentiments such as handwritten notes.Creates compelling and impressive presentations that accurately reflect the company's and the CEO's brand, as needed.Coordinates internal and external communications from the CEO.Manages sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the operations of the company.Office OperationsOversees the Office Manager to ensure that the office environment operates and runs smoothly.Provides oversight on projects and vendors related to the upkeep and maintenance, repairs, and renovations for satellite offices and plants, as needed.Oversees the office expenses related to the business operations budget; ensures accurate and timely reporting.Oversees and maintains the office's Standard Operating Procedures and ensures proper rollout and training.Oversees the arrangement of travel for remote staff, consultants, and clients as needed; creates and communicates travel briefings.QUALIFICATIONS7+ years of experience as an Executive Assistant or related administrative role supporting C-Suite executives.Excellent administrative and organizational skills with the ability to exercise independent judgment, discretion, and initiative.Proactive and able to perform with only general instruction on new assignments and with minimal supervision.Highly experienced with executive calendar management, expense management, and travel.Track record of proactively anticipating the needs of senior executives, demonstrating attention to detail, and managing multiple priorities.Ability to manage and maintain sensitive and/or confidential information.Excellent written and oral communication skills.Must be flexible and detail-minded while handling multiple priorities.Level-headed with the ability to think on your feet, be flexible, and plan for changes.Sense of urgency and follow-through on deadlines, for your work and helping the team meet deadlines.Strong PowerPoint, Excel, Word, SharePoint, and PC software skills are essential, as is proficiency with collaboration tools such as MS Teams.Experience and/or passion for supporting internal communication initiatives is a plus.BS/BA degree (or equivalent) is preferred.Experience using Box, SalesForce, NetSuite, and Monday; ability to quickly learn and adapt to new platforms.BENEFITS PACKAGEWe offer excellent benefits, which include 10 paid holidays and free products.
