Assists with propelling the business forward through actions such as preparing client presentations, identifying and implementing process improvements, and researching, analyzing, and presenting best practice improvements. Supports day-to-day business functions and must be experienced in handling a wide range of administrative and executive support-related tasks with the ability to work independently with little or no supervision. Ensure smooth operation of the office by performing various facility and operational tasks.Duties and ResponsibilitiesConserves executive's time by reading, researching, and routing correspondence, drafting letters and documents, collecting and analyzing information, and initiating communications.Develops a thorough understanding of the business to make appropriate recommendations and decisions impacting the executive.Manages the executive’s Outlook account including high volumes of email traffic, an active calendar of appointments and travel, and updates contacts as needed.Engages with all staff members situated throughout the country to facilitate solutions.Prepares agendas and minutes in relation to crucial meetings.Completes expense reports and approves timecards for the executive’s direct reports.Maintains executive files, copies and reviews outside mail, scans and files documents.Assists with corporate meetings and events.Communicates effectively with all levels of the organization and external stakeholders.Provides direct administrative support as needed, including scheduling appointments, meetings, and events; booking detailed travel itineraries; maintaining file systems; incoming and outgoing mailing and shipping packages.Manage office supplies, equipment, and inventory, ensuring adequate stock levels and overseeing procurement processes.Coordinate office logistics such as facility maintenance, vendor relationships, and workspace organization to support a productive and comfortable work environment.QualificationsBachelor’s degree preferred, High School Diploma or GED and professional experience will be highly considered.3 – 5 years of experience as an Administrative Assistant supporting a Senior Executive.High level of professionalism and demonstrated ability to handle highly sensitive and confidential information.Ability to solve problems with sound judgment and act independently to execute tasks without daily, structured direction.Superior organizational skills, attention to detail, and responsive.Ability to operate independently and remotely from being managed daily.Excellent written/verbal communication, administrative, and presentation skills.Must be team and results-oriented and able to multi-task in a fast-paced environment.Highly proficient in utilizing technological tools and platforms to streamline administrative processes and enhance efficiency.Intermediate level computer skills including Microsoft Office Suite (Excel, PowerPoint, Outlook, etc)Proficiency in maintaining brand standards and understanding of brand identity.Demonstrated success where personal results and accountability are evident.Must be resourceful, comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, and efficient.Work Conditions/Physical RequirementsIn-person position primarily an office environment. Noise level is moderate. Ability to work after normal business hours as needed is required.Direct reportsThis position has no supervisory responsibilities.
