About The Role
The Senior Executive Assistant will work closely with leaders within the Engineering, Product Design, Product Management, and Data (EPDD) organization. This person will be responsible for ensuring the operations of the leaders run smoothly and that the team has strong practices for coordination, execution, communication, and alignment.
This role serves as the primary partner to 2-3 leaders within the Product Services organization. You will be in a key partnership position, helping to drive Gusto forward and scale. You will also be a part of the EPD Executive Operations community and report directly to the lead EPD Executive Operations partner.
Here’s What You’ll Do Day-to-day
Expert of ceremonies: strategically partner to prioritize and coordinate the leader’s time, ensuring it aligns with department priorities, and creating a system of accountability for time allocation. Responsibilities include calendar management for all internal and external meetings.Meeting enabler: organize, attend, and track minutes and action items to make every interaction productive and enjoyable.Special projects: May include research, analysis, and presentation preparation, executed with quality while maintaining time flexibility to adapt to organizational needs.Project management: keep multiple teams and projects on track in parallel, recognizing when adjustments are needed to ensure smooth operations.Gifted communicator: represent the leaders well through phone, email, and chat with various internal and external stakeholders.Culture carrier and community builder: embody Gusto Values while planning team off-sites and team-building events.Relationship builder: create meaningful interactions across the organization and with external individuals.Travel planner: manage flights, hotels, transportation, dining, etc.Work Background
Here’s what we're looking for:
5+ years of direct administrative experience supporting C-Level executives or General Managers in a large organization.Career EA who loves the profession and wants to stay an EA for the long term.Demonstrated ability to own large cross-functional projects from end to end.Experience organizing team events with ~50 participants.Proven ability to manage complex travel schedules with multiple stakeholders.Experience supporting scheduling with external parties is a plus.Characteristics & Skill Set
Organized and detail-oriented, with the ability to prioritize multiple assignments calmly under pressure.Structured thinking and a structured mindset for managing time and explaining priorities.Intellectual curiosity to discover new ways to improve processes.Excellent communication skills, capable of conveying leaders' priorities effectively.Confidentiality in handling business matters.Proficiency with major productivity suites, especially Google Apps.Natural ability to connect and collaborate with others.Attributes others will have said about you: constantly learning, high attention to detail, calm under pressure, easy to work with.Our cash compensation amount for this role is between $98,000 & $116,000 in Denver and between $119,000 & $140,000 in San Francisco. Final offer amounts are determined by multiple factors including candidate location, experience, and expertise.
Gusto has physical office spaces in Denver, San Francisco, and New York City. Employees based in those locations will be expected to work from the office on designated days approximately 2-3 days per week. When approved to work from a location other than a Gusto office, a secure, reliable, and consistent internet connection is required.
