Job Description

The Director of Operations (DOO) leads the creation, implementation, and maintenance of KIPP Detroit Imani Academy’s operational systems, allowing the Principal and Teachers to focus on teaching and learning and enabling a supportive school environment. The DOO therefore will be an individual who embraces structure, innovation, and continuous improvement, and relishes the challenge of finding ways to work smarter and in a cost-efficient manner. The DOO reports to the Principal and is accountable to the Regional Shared Service Team. The DOO manages any office or part-time enrollment staff.RESPONSIBILITIESSchool Operations Leadership & Operations Team ManagementIn partnership with the School Leader and the region, develops the school-wide operations vision that supports and operationalizes the academic and cultural vision of the schoolPlays a leadership role in the school’s strategic and annual planning and budgeting processHires, manages, coaches, and develops school operations team members (including front office staff and vendors) and holds them accountable to goals and outcomesServes as the primary point of contact for the regional team, responding to requests and collaborating with teammates across the region to build scalable, region-wide systems, policies, and proceduresStudent Recruitment, Enrollment, and AttendanceDevelops and manages student recruitment strategy to ensure that the school begins the academic year with full classes and actively recruits to fill open seatsEnsures that parent info sessions, school tours, and the lottery and enrollment process are tightly planned and executedLeads school’s effort to reach and maintain 96% average daily attendance for the year, which includes creating a plan for daily attendance calls and data entry; analyzing data; and implementing incentives for students, families, and staff members for hitting daily, weekly, monthly, and quarterly goalsFinance & PurchasingActively manages the school budget throughout the yearManages the school purchasing process by establishing clear systems for staff to request items, placing orders with vendors, tracking delivery, and coding and submitting purchases orders, invoices, and reimbursement requests; approves school purchases under a specific financial thresholdServes as the first school-based point of contact regarding finance and works with regional Finance team to ensure financial compliance and reportingFacilities & MaintenanceOversees most facilities issues, including maintenance, managing staff/vendors, aesthetics, shared space agreements, and campus safetyRegularly conducts facilities walkthroughs and liaises with custodial staff/vendors to ensure that the facility looks the best it canEnsures that the main office is neat, organized, welcoming and has all important parent facing materialsStudent & Family Services (School Ops; Communications; Field Trips/Events)Serves as the eyes and ears of the school to ensure that all school operations run seamlessly each day, proactively problem solving and developing systems where neededOversees all aspects of food service, including quality, managing staff/vendors, meal tracking, compliance, and meal deliveryOversees arrival and dismissal procedures, and setting and managing staff duty schedulesOwns logistics of communications and external relations through parent letters, weekly staff notes, surveys, and visitorsOwns all logistics (e.g., transportation, lodging, meals, staffing plan, etc.) of all off-site field trips and all on-site special events (Report Card Nights, Performances, Graduation, staff celebrations, etc.)Serves as point person for hosting visitors on school toursTechnology & EquipmentEnsures that students and staff have access to needed technology and works with Tech Team to plan technology related enhancementsLeads the school opening/start up process each year to ensure that doors are ready to open by ordering furniture, equipment, instructional supplies, and ensuring that student services (e.g., food service, transportation) are ready to goManages the school’s supply and asset inventory (e.g., computers, textbooks)Student Information, Testing, and Academic Operations SupportManages systems for and maintains accurate student data and information in compliance with federal, state, regional and school expectationsWorks with the principal or AP to manage the logistical elements of all major student assessmentsManages logistics of report cards/progress reports/transcriptsQualificationsBachelor’s degree required; graduate degree preferred3 to 7 years of work experience, preferably in education and/or business or operations managementDemonstrated management and leadership skills (e.g., at least 2 years managing a team or multiple large projects)Strong project and time management skills; ability to effectively backwards plan, juggle multiple priorities with great attention to detail, and deliver consistent and timely resultsStrong strategic and analytical skills with an aptitude for shifting from firefighting to systems-buildingSense of humility, customer service mindset, and shows urgency and the ability to proactively solve problems and make decisions quicklyTeam player with strong interpersonal and stakeholder management and relationship building skillsAbility to lead, influence, and hold others accountable to upholding high standards of operational excellenceHigh level of comfort with financial oversight and budgetary trackingAbility to be calm under pressure, especially in difficult conversations with parents and staffExcellent organizational, verbal, and written communication skillsExcellent computer skills, including Microsoft Word, Microsoft Power Point and Microsoft ExcelDesire to continuously learn and increase effectiveness as a professionalUnwavering commitment to KIPP’s mission and willingness to go above and beyond to meet the needs of KIPP students, families, and staffRisk Management, Compliance, and HR AdministrationEnsure that the school is prepared for emergencies by conducting all drills and training staff on emergency plansPartners with regional HR/recruitment on the new hire process (e.g., interviews, new hire offer letters, onboarding)Ensures that school staff have complete, current, and accurate employee files and certifications; all personnel interacting with students have background checks on file; and schools comply with all areas of legal compliance (e.g., HR, FERPA, etc.)Completes the exit form for terminating employees and partners with the regional human resources team on any action items surrounding the exit logisticsEnsures that students have complete CA-60 files and timely immunization record submissions are made to the state.COMPENSATIONKIPP Chicago Public Schools offers a competitive compensation and benefits package:Salaries based on experience related to role and responsibilitiesCompetitive rates for medical insurance and short-term disability insurance.
