DESCRIPTION

POSITION SUMMARY

The Senior Accountant - Accounts Payable will lead all financial transactions that are accurately recorded, ensure reports are prepared in a timely and accurate manner, and that the Accounting Team adheres to established policies and procedures. The ideal candidate is a highly motivated and energetic individual who can work in a fast-paced environment, manage multiple tasks, and coordinate with multiple people.

DUTIES & RESPONSIBILITIES

Compiles vendor payment requests with sufficient supporting documentation, proper authorization, and account codes in the AP system, Chrome River, Divvy:

Reviews invoices and account coding for accuracy and compliance with APA policies.

Researches and resolves discrepancies with vendors and APA staff as needed.

Generates payment via check, ACH transactions, and wire transfers timely and in accordance with APA's payment schedule.

Requests appropriate tax forms from vendors for year-end tax reporting.

Records funds received/owed by wire, ACH, credit card, and check daily within subledger and general ledger system.

Manages accurate vendor file records in the AP and financial accounting systems.

Leads staff and member expense/travel reimbursements, and assists individuals with submissions in Chrome River as needed.

Prepares assigned balance sheet account reconciliations and coordinates with budget managers on discrepancies.

Assists in reconciling company credit cards monthly.

Manages a list of outstanding and unclaimed checks and coordinates with vendors and appropriate APA staff to resolve issues.

Manages the accounts payable accounts monthly and year-end close processes, including reconciliations and journal entries.

Leads in preparing and processing 1099s annually.

Assists in preparing audit schedules in support of the annual financial statement audit.

Collaborates in developing and implementing accounting policies and procedures to ensure compliance with regulatory requirements and best practices.

Leads Chrome River training for staff periodically and/or when needed.

Helps maintain and update the accounting system and ensures that all data is accurate and up to date.

Conducts regular audits and reviews of accounting processes and controls to identify and mitigate any risks and issues.

Collaborates with Finance department in the development of new policies and procedures.

Acts as backup for other Senior Accountants and Senior Accounting Manager.

Performs other accounting duties as assigned.

COMPETENCIES

The Senior Accountant - Accounts Payable performance on these duties and responsibilities will be measured using the following competencies:

Leads the daily activities of all aspects of the specific areas in the Finance Department that are currently assigned to the role: Accounts Payable.

Performs tasks that significantly impact Finance and require the ability to gather, organize, verify, compose, and/or analyze established concepts, policies, and procedures to complete several multistep functions.

Demonstrates proficiency in Accounts Payable.

Success is frequently measured by completing a complex set of tasks and demonstrating complex and nuanced individual and group work environment behaviors.

Exercises judgment to choose a work method/procedure and to schedule tasks appropriately to meet guidelines within the Finance department.

Identifies complex problems and issues. Designs and implements solutions with Director of Finance and/or Senior Accounting Manager approval.

Recognizes complex problems and escalates them to the appropriate level.

Relationships span levels internally and externally and center on collaborative work efforts.

Has regular contact with outside partners and organizations.

Has extensive contact with management, staff, and colleagues across departments to identify, learn, explain, and report on key issues, trends, and challenges.

Uses diplomatic skills to obtain trust, cooperation, and understanding in order to resolve more complex problems.

May represent the organization as a liaison to APA and audiences with guidance from supervisor.

ORGANIZATIONAL KNOWLEDGE

Demonstrates a full understanding of the Senior Accountant relationships and responsibilities within the Finance department.

Demonstrates a thorough working knowledge of policies, procedures, and terminology of the related department/field.

SUPERVISION

Coaches and mentors junior level staff.

No direct management or supervisory duties.

QUALIFICATIONS

Bachelor's degree in accounting or finance-related field.

Minimum 5 - 7 years of experience within accounts payable and receivable, preferably within non-profits or an association.

Strong analytical and problem-solving skills.

Effective customer service skills.

Flexibility and a demonstrated ability to meet deadlines in a fast-paced environment.

Knowledge of Microsoft Office applications, Chrome River, and Sage Intacct is a plus.

Demonstrate and utilize a working knowledge of applicable laws and regulations.
