API Legal Outreach is the largest social justice legal organization focused on the Asian/Pacific Islander, Latinx, and immigrant communities of the Greater Bay Area and the Central Valley. A growing community-based organization founded in 1975, our mission is to provide culturally competent and linguistically appropriate direct services to the most marginalized segments of our community including low-income women, seniors, immigrants, and youth. With offices in Oakland and San Francisco, our work is focused in the areas of Gender-based Violence, Immigration and Immigrant Rights, Disability Rights, Senior Law and Elder Abuse, Anti-Human Trafficking, Youth Violence Prevention, Anti API Hate Violence, the preservation of affordable housing and small businesses, and other social justice issues.

Position Overview

Reporting to the Deputy Director, the Operations Manager plays a critical role in managing our facilities, IT systems and general administration, while also supporting human resources and knowledge management. This position will be based in San Francisco but will also carry responsibilities for our East Bay office. The role demands a commitment to social justice. Interaction with a variety of stakeholders and representation of the organization in diverse settings are key components of this role. The ideal candidate will be dedicated to serving underserved Asian and Pacific Islander communities and BIPOC communities in the Greater Bay Area.

Key Responsibilities

Facility Management (30%)Ensuring the safety and security of the people and premises during specified hours and providing a response to any after-hour security breaches or incidents.Facilitating optimal working conditions by assisting with maintenance and upkeep of office facilities and equipment, and coordinating with contractors and service providers for building-related needs.Leading facility-related projects from planning through implementation.General Administration (30%)Managing equipment inventory, maintaining office supplies, and performing general administrative tasks such as data entry and file maintenance.Supervising Administrative Assistants and overseeing direct services towards clients.Assisting with basic human resources tasks as needed, including but not limited to the coordination of onboarding processes and support with recruitment activities.IT Support (20%)Providing IT support for the office and across varying departments, troubleshooting basic issues, and coordinating with IT services as needed.Safety and Emergency Preparedness (10%)Overseeing emergency disaster drills, and developing and updating safety policies, procedures, and training.Community Engagement and Support (10%)Contributing to administrative and fundraising efforts dedicated to serving underserved Asian and Pacific Islander communities and BIPOC communities.Minimum QualificationsAt least 2 years of experience in an office administrative role.Demonstrated experience in coordinating with contractors and service providers for building-related needs.Ability to perform general administrative tasks such as managing equipment inventory, maintaining office supplies, and conducting data entry and file maintenance.Demonstrated knowledge of a variety of software applications and implementation.Excellent communication skills and the ability to interact effectively with a variety of stakeholders.Demonstrated commitment to social justice.Preferred QualificationsBachelor's degree in Business Administration, Management, or a related field.Experience in a role with a focus on facilities management.Experience within a non-profit or community service context.Experience in conducting and overseeing emergency disaster drills, and developing and updating safety policies, procedures, and training.Experience in or demonstrated commitment to serving underserved communities, specifically Asian and Pacific Islander communities and BIPOC communities.Ability to travel between offices in San Francisco and East Bay, as required.To ApplyPlease click on the links below to apply and send your cover letter and resume with three professional references.
