EXECUTIVE ASSISTANT, CORPORATE AFFAIRS AND BOSTON OFFICEIonis Pharmaceuticals, Inc. is looking for an executive assistant to support the Corporate Affairs team and serve as the administrative lead for the company’s growing Boston office. The ideal candidate will be experienced in handling a wide range of administrative support tasks, including technical tasks; must be exceedingly well organized and flexible. This individual must be able to function effectively and independently in a variety of roles within a dynamic and fast-paced environment.

SummaryThe successful candidate will be a key member of the team to ensure demanding schedules, conflicting priorities and communication are managed effectively for the team. The candidate will organize and streamline operations to ensure optimal effectiveness. The position will offer the ability to work closely with an experienced and tight-knit biotech team. The Corporate Affairs team support will include supporting the SVP, Corporate Affairs, the VP, Corporate Communications, as well as other leaders and teams responsible for communications, patient advocacy, corporate responsibility and government affairs and policy.

ResponsibilitiesManage multiple calendarsTravel arrangements (flights, hotel, ground transportation)On-site support for corporate events and coordination of Boston office management activitiesArrange meetings and conference calls including coordinating all meeting logistics, developing agendas, meeting materials, take attendance, send minutes, etc.Manage and treat highly confidential information professionally and in accordance with expectation of leadershipPrepare and process expense reports, contracts, SOWs, POs, and legal requestsPrepare, maintain and process consultant agreements, travel expenses and meeting agendasUpload digital assets for CA and maintain portals and branding assetsManage SharePoint permissionsSmartsheet and SOX system administratorSchedule interviewsAssist with budgetMaintain collaborative and positive relationships with internal administrative team and external administrative partnersOther duties as assigned
