JOB DESCRIPTIONPOSITION SUMMARY

We are looking for a Swiss army knife to be the assistant for our CEO, Jeff Sekinger. We need a go-getter that loves to be proactive and stay one step ahead of our CEO to help curate the most frictionless days possible. This person will need to be well-versed in communications, scheduling, and general business/operations acumen. You will need to know how to prioritize and balance multiple tasks and duties from administrative work, legal documents, and office management to handling personal tasks. This role will be working mostly as a business executive assistant but will also perform personal assistant duties when needed. The Executive Assistant position is a partially remote role. This means that some days, the individual in this role will work from home, while on others, they will be expected to be physically present at various locations, primarily in the Brickell area, as required by the CEO.

PERFORMANCE OBJECTIVES

Manage communications channels.

Manage schedules.

Vendor management.

Manage and organize all business or legal documents for all entities owned or operated by Jeff Sekinger.

Financials requests.

Travel management.

Conducting research.

Public Relations.

Assistant in event coordination.

Help with daily time management.

Handling personal tasks.

Performs other related duties as necessary or assigned.

KEY COMPETENCIES

A proactive mindset to stay one step ahead of the CEO day to day.

High ability to manage the business operation and legal documents for an active entrepreneur with multiple businesses.

Experience in successfully maintaining a positive attitude while working in a team environment with competing priorities.

Ability to maintain confidentiality.

Strong computer skills and highly proficient in Google Workspace, Excel, Windows, macOS, PowerPoint, Building Documents, and Agenda.

Ability to think critically, in the assessment of information and materials to problem solve.

Outstanding organization and administrative accountability.

Strong written and verbal communication skills.

Ability to think individually as well as collaboratively when approaching any issues.

Ability to read, interpret, and create documents such as billing, credit card statements, scribe, contracts, agendas, travel itineraries, and schedules.

Problem solving mentality.

EDUCATION AND EXPERIENCE

GED or High School Diploma (required), bachelor’s degree or certifications in Operations (preferred).

Minimum (3) years of high-level executive assistant, office management, or operations experience (required).

Minimum of (3) years experience in managing communication, legal documents, agendas, travel, and multiple business operations (required).

Current State Driver’s License (required).

Experience working with team members across multiple functional roles (required).

PHYSICAL REQUIREMENTS

Ability to spend prolonged periods standing, sitting, or walking.

Ability to work in an enclosed office environment.

Must be able to lift at least 25 lbs.
