All employees of APC are expected to perform tasks as assigned by APC supervisory/management personnel, regardless of job title or routine job duties.SummaryThis position relieves the President/Chief Executive Officer, and other officers or executives as designated by management, by performing highly organized administrative work of varying degrees of complexity, including but not limited to corporate services account management, claims assistance, high-accuracy clerical work, communicating on behalf of the executive office(s), scheduling, and myriad other tasks that contribute to the overall success of the organization.Essential FunctionsGeneral Liability Claims Administration and Other Legal Assistance

Assist the President/CEO with general liability claims. File records, research, and retrieve documentation requests.Work directly with attorney’s office to maintain filings for intellectual property protections.

Credit Card Account Management and Cardholder SupportPrepare President/CEO’s work travel schedule. Occasional on-call assistance is required.Prepare and distribute succinct meeting minutes, written processes, and other documentation as requested.Sort and distribute incoming mail and email for the President/CEO.Prepare outgoing correspondence, including printed, e-mail, and other forms of communication.Achieve and maintain Certified Notary Public certification in Benton County, Arkansas. Notarize documents as needed.Organize and maintain physical and electronic filing systems for the President/CEO.Answer and screen President/CEO’s telephone calls. Connect parties with President/CEO for scheduled calls.Coordinate President/CEO’s schedule and make appointments.Create electronic calendar and prioritized dossier of materials for President/CEO’s review and action.Greet scheduled visitors and escort them to the appropriate area or person. Offer and retrieve hospitable amenities such as food, beverages, and office supplies.Renew vehicle tags, manage toll accounts, maintain vehicle files, and assist approved drivers with vehicle reservations.File and coordinate property and casualty insurance claims for loss/damage suffered by the company.Maintain keys, in accordance with Safety Manager’s log for distribution of keys, to properties, secured areas, and furniture and cabinet locks.Provide Certificates of Insurance for coverages as requested by customers.Prepare employee birthday gifts for President/CEO to issue.Maintain a current list of vehicles and approved drivers with insurance.Print, scan, and make copies of documents as needed.Maintain orderly and welcoming aesthetic for President/CEO’s office. Maintain stock of food, beverages, and other amenities for President/CEO and guests.Place meal orders, retrieve food, beverage, and other amenities for President/CEO.Coordinate internally and with the vendors for ordering corporate Christmas cards. Distribute internally for timely mailing.Other duties and tasks as requested by the President/CEO.Supervisory ResponsibilityThis position has no supervisory responsibilities.This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, copiers, and filing cabinets.Physical DemandsThis is largely a sedentary role; however, some light lifting, bending, stooping, and standing is necessary. Mental alertness and long periods of concentration are required.Position Type/Expected Hours of Work:Full-time position. Monday – Friday, 8:00 – 5:00.
