Duties/Responsibilities:

The UT Extension Central Region Administrative Associate II is directly responsible to the Region Director. Time allotment will be approximately 50% Entomology and Plant Pathology (EPP) and 50% Extension. Duties include:

• Perform Administrative Associate duties for staff and clientele that meet the needs of all eligible clientele regardless of race, color, national origin, age, sex, disability, region, or veteran status.

• Proficient use of computer programs: Microsoft Office (Word, Excel, Outlook, Publisher, and PowerPoint), SharePoint, WordPress, IRIS, Concur, Zoom, QuestionPro, Qualtrics, SUPER, DocuSign, Microsoft Teams, and Best of Showare.

• Create and produce brochures, newsletters, fliers, posters, year books and correspondence for EPP and Central Region Extension.

• Revise and update documents for Extension publications and various journals; Assist Specialist with updates of publications containing pesticide recommendations.

• Manage budgets, income and expense records, registration and training for EPP & Extension programs.

• Order, manage & inventory office supplies, awards, and supporting materials.

• Prepare monthly mileage reports and process travel and expense reports for staff.

• Maintain Central Region meeting space and vehicle calendars.

• Assist with verification of EPP and Central Region Extension procurement cards.

• Maintain EPP and Central Region Extension Inventory records.

• Maintain Central Region Extension physical inventory records.

• Assist Entomology and Plant Pathology and Pesticide Safety and Education Specialist with quarterly trainings.

• Solicit bids and cost information from vendors for purchases and repairs involving building maintenance, buses, and region owned vehicles.

• Process contracts for Central Region Extension.

• Maintain proficiency with Extension policies and procedures supporting both regional staff and county staff by keeping them aware of deadlines on reports, questionnaires, and requests at all levels.

• Perform strong customer service functions, such as answering telephone requests.

• Interact with clients, stakeholders, county personnel, other departmental staff and UT/TSU administration.

• Assume other duties as assigned.

Minimum/Required Qualifications (include education, experience, skills & abilities, licenses & certifications):

• Must have a high school diploma, or equivalent.

• Skills and Abilities: Superior communication skills (written & verbal) and organizational skills, ability to work with the public, be a team player, and a self-starter.

• Office type environment work of 1-3 years.

• Proficient in Microsoft Office (Word, Excel & PowerPoint).

Preferred/Desired Qualifications:

• Additional education beyond high school diploma preferred.

• Three or more years office experience preferred.

• Extension Experience of 1-3 years preferred.

• Experience with SharePoint, WordPress, IRIS, SUPER and Concur.

• CAP certification.
