Overview:

We are seeking a dedicated and organized Administrative Assistant to join our high school team. This role is pivotal in ensuring the smooth operation of the school's main office, counseling office, and athletic office. The ideal candidate will be a proactive, detail-oriented professional with excellent communication and multitasking skills.

REPORTS TO:

Building Administrators (Principal, Assistant Principals, Athletic Director, Dean of Academic Affairs)

RESPONSIBILITIES:

Main Office:Greet and assist visitors, students, and staff with inquiries.Answer and direct phone calls, emails, and other correspondence.Assist in preparing and distributing school communications, newsletters, and announcements.Assist with student forms.Answer and distribute phone calls.Maintain office equipmentIssue student work permitsAssist with attendance as neededMailing and FilingCounseling Office:

Oversee the PowerSchool Counseling tasks which include opening and closing the grading portal, grade reporting, grade changes, storing grades,reporting honor roll and assist with report cards.Support the Dean of Academic Affairs by overseeing the PowerSchool calendar.MCAS Mailing and Filing of Reports, Abigail Adams mailing, Koplick Mailing, Summer School MailingGeneral support of the counseling office- answer phones, meet and greet parents, students, teachers, and staff, screening and prioritizing student appointments, with counselors, delivering passes for counselor meetings, troubleshooting electronics, ensuing students are signing in and out, keeping clear lines of communication for any staff who needs assistance.Clean out Senior Files and prepare graduate packet of documentation.Update SIMS data for graduating class.Transcript Processing - Collection of Transcript Requests and money for college admissions and process via Naviance, send grades to colleges, follow up on missing documentation for colleges, student/former student requests. Sends delinquent payment letters to students.Athletic Office:

Work with the AD to maintain athlete eligibility records and ensure compliance with school and district policies.Support the Athletic Director with administrative tasks, such as budget tracking and correspondence.Review Family ID for weekly registrations and track payments of user fees.Athletic Bus SchedulingUpdate Arbiter Sports App.Other Duties:

Process student work permitsPower School- Open and close parent portal as needed/scheduledLunch coverage of the front desk and counseling office.Support METCO Program as neededOther duties as assignedQUALIFICATIONS:

Excellent written and oral communication, interpersonal and organizational skills.Ability to effectively communicate with a diverse population including multilingual familiesAttention to detail.Excellent organizational skills.Proactive problem solver.Able to adapt to sudden work assignment changes in response to immediate school/district needs.Possess a combination of office skills including and not limited to: typing, filing, record keeping, word and data processing and other office skills that the position demands.Ability to multitask and work in a fast paced environment.Experience using work processing, spreadsheets and web-based applications.Work independently and in a team environment.Work cooperatively with parents, students, vendors, community members and SPS employees.A sense of humor and a proven ability to work in a polite and friendly manner with all employees and community members.

SALARY:

In accordance with the negotiated agreement between the Sharon School Committee and the Sharon Administrative Assistants' Union.

WORK SCHEDULE:

37.5 hours/ week, 182 days a year and up to 34 additional days to be worked between July 1- June 30.
